Position Overview

We are seeking a highly organized and detail-oriented International Vendor Specialist with experience in the manufacturing or construction industry. This remote position, based in the Philippines, requires working EST hours to effectively support our U.S.-based manufacturing operations.

The successful candidate will serve as the primary liaison for global vendors, managing the end-to-end procurement process, including sourcing quotes, negotiating, placing orders, managing purchases and invoices, tracking shipments, and ensuring on-time deliveries. A key aspect of this role involves proactively identifying and evaluating new vendors, expanding our supplier network to optimize pricing, quality, and lead times. The Procurement Coordinator will work closely with the Project Management Team to provide real-time procurement updates, coordinate with Quality Assurance for item inspections, and maintain well-organized, up-to-date records in Asana and other project tracking tools.

The ideal candidate will have a strong understanding of construction drawings, procurement workflows, and material sourcing. They should also possess strong negotiation skills, a strategic approach to vendor sourcing, exceptional attention to detail, and the ability to streamline procurement workflows for increased efficiency and cost-effectiveness.

Key Responsibilities
- Vendor Management – Act as the primary point of contact for global vendors, managing relationships and performance.
- Sourcing & Procurement – Identify, evaluate, and establish relationships with international suppliers.
- Quoting & Negotiation – Request quotes, negotiate pricing, and secure the best terms for materials and services.
- Procurement & Order Management – Oversee the purchase order process from placement to fulfillment.
- Invoice & Payment Coordination – Process and verify invoices, ensuring accurate and timely payments.
- Document Review & Analysis – Review construction drawings and assist with procurement-related questions.
- Estimating & Cost Analysis – Perform quantity take-offs, cost analysis, and support budget preparation.
- Data Management & Reporting – Utilize MS Excel, Asana, Slack, and SharePoint to streamline procurement data, analyze costs, and generate reports.
- Quality Assurance Coordination – Work with QA teams to inspect and verify received goods meet specifications.
- Project Team Collaboration – Provide procurement updates and align purchasing with project timelines.
- Performance Monitoring – Track vendor reliability, assess risks, and resolve supply chain issues.
- Process Optimization – Continuously improve procurement workflows for efficiency and cost savings.
