As an Immigration Assistant at IVEY Group, you will play a crucial role in supporting the immigration services department by assisting with administrative tasks, document preparation, and client communication. Your attention to detail and ability to manage multiple tasks will contribute to the efficient processing of immigration cases. The ideal candidate will have a basic understanding of Canadian immigration laws and regulations, excellent organizational skills, and a commitment to delivering high-quality service.

Responsibilities:

Documentation and Application Support:
• Prepare Retainer Agreements and proposals as per IVEY Group standards.
• Assist in the preparation and review of immigration documents, applications, and petitions.
• Prepare forms and send to client for review and completion accompanied by a list of outstanding documents.
• Ensure that all forms are completed accurately and in compliance with Canadian immigration laws.
• Submit applications to relevant immigration authorities and track their progress.

Client Interaction:
• Serve as a point of contact for clients, addressing inquiries and providing basic guidance on immigration processes and requirements.
• Participate in introductory and pre-arrival calls with Case Analyst
• Assist clients in gathering and organizing the necessary documentation for their immigration cases.
• Maintain clear and timely communication with clients.

Case Management:
• Assist in managing immigration cases for clients, including maintaining organized and up-to-date case files.
• Monitor and track case progress, providing regular updates to clients and senior team members.
• Ensure that all case-related documentation is complete and accurate.
• Learn and use all relevant technology and software.

Compliance and Research:
• Stay updated on changes in immigration policies, regulations, and procedures.
• Conduct research to verify the accuracy and completeness of immigration-related information.
• Ensure that all immigration services adhere to Canadian immigration laws and guidelines.

Administrative Support:
• Provide administrative support to the immigration team, including scheduling appointments and meetings.
• Maintain detailed records of immigration cases, correspondence, and documentation.
• Assist in generating reports on case status and outcomes.

Required skills & experience:

• Excellent verbal and written communication skills
• Ability to effectively communicate and work cross-culturally with international candidates and their families.
• Strong organizational skills with a keen attention to detail.
• Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
• Proficiency in Microsoft Office suite.
• Strong customer service orientation.
• Bilingualism is a must (English, Philippines)
• Basic understanding of Canadian immigration laws and processes is an asset.
• Previous experience as a translator, administrative assistant is an asset.
• College or other non-university certificate or diploma from a program of 1 year to 2 years
