Wheatland Health Community Care (WHCC) seeks a highly organized and proactive Virtual Assistant (VA) to support our growing home health agency. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple administrative and operational tasks essential to our daily operations.
Responsibilities:
? Scheduling & Coordination
Manage and maintain caregiver schedules, ensuring proper coverage for all clients.
Handle shift adjustments, cancellations, and last-minute schedule changes.
Communicate with caregivers and clients regarding scheduling updates.
? New Client Onboarding & Intake
Process new client inquiries and complete intake procedures.
Verify client eligibility and gather necessary documentation.
Maintain accurate records and ensure compliance with company policies.
? Caregiver Onboarding & Compliance
Assist in recruiting, onboarding, and credentialing new caregivers.
Ensure all caregiver files are current, including licenses, certifications, and background checks.
Monitor caregiver compliance and follow up on missing or expired documents.
? SOP Creation & Process Optimization
Develop and update Standard Operating Procedures (SOPs) for WHCC’s core processes.
Implement efficient administrative workflows to improve operations.
? Timekeeping & Compliance
Ensure clients and caregivers clock in and out properly through our time-tracking system.
Address discrepancies and follow up with caregivers as needed.
? Communication & Support
Answer incoming phone calls and respond to
Provide excellent customer service to clients, caregivers, and referral partners.
Assist with client and caregiver concerns, escalating issues when necessary.
? Billing & Insurance Coordination (Preferred but not required)
Assist in tracking and verifying service hours for billing.
Support claims processing and insurance verification tasks.
Qualifications:
???? Previous experience in home health, healthcare administration, or virtual assistance preferred.
???? Strong knowledge of scheduling, onboarding, and compliance processes in home health.
???? Proficiency in Microsoft Office, Google Suite, and scheduling/EMR software (experience with SWyftOps is a plus).
???? Excellent organizational and multitasking skills.
???? Strong written and verbal communication skills.
???? Problem-solving mindset with the ability to work independently.
???? Availability to work U.S. business hours (Eastern Time).
