JOB OVERVIEW

Nautical Staffing is a looking for an experienced, detail-oriented, and diligent Onboarding Specialist to join our in-house team.

Responsibilities:

Virtual Assistant Onboarding
- Guide new VAs through the onboarding process, ensuring all steps and compliance requirements are met.
- Prepare onboarding materials, such as contracts, policies, etc.
- Conduct orientation sessions and answer any questions from new hires.

Regular Communication with VAs
- Establish regular check-ins with VAs to address queries, ensure satisfaction, and escalate any concerns.
- Serve as a point of contact for VAs, providing ongoing support throughout their tenure.

Data Entry & Record Keeping
- Maintain accurate and up-to-date records of onboarding activities, check-ins, and other events and documents in the system.
- Input and track data related to VA performance and account status in the system.

HR & Admin, Training, and IT
- Assist in the development and implementation of HR & admin policies and procedures.
- Assist in the creation of training materials as well as coordinate training sessions and certifications.
- Coordinate with the IT team regarding technology, equipment, and data concerns.

Collaboration with Recruitment Team
- Work closely with the recruitment team to ensure a smooth transition from candidate selection to the onboarding process.
- Gather information on open requirements to include in internal communications.
- Facilitate interviews between VAs and clients and properly disseminate updates to the team.

Continuous Improvement
- Identify areas for improvement in the onboarding process and propose solutions to enhance VA experience and client satisfaction.
- Stay updated on industry trends and legal requirements that may affect VA onboarding procedures.

Qualifications:

*Prior experience in employee onboarding is strictly required (VA onboarding is highly preferred)
*Prior experience in the virtual staffing industry (especially accountants/bookkeepers and real estate VAs) is highly preferred
*Prior experience in regular communication with employees/VAs and other departments
*Must be familiar with other HR processes
*Excellent communication, time management, and organizational skills
*Experience in creating and improving processes and collaterals
*Proficiency and Google Workspace, Slack, Zoom, and Microsoft Office
*Must be willing to work full-time during US business hours, with flexibility in start and end time
