We are seeking an exceptional HR & Administrative Assistant to join our growing team. This role combines HR expertise with administrative excellence in a healthcare setting, offering both remote work flexibility and competitive compensation.

???? Key Responsibilities:
HR Management
Recruitment Leadership
Design and publish compelling job advertisements
Manage applicant communications and conduct initial screenings
Coordinate interview schedules with HR Director/Clinic Owner
Maintain recruitment database and tracking systems
Onboarding Excellence
Execute a comprehensive onboarding process for new practitioners
Process essential documentation:
New Practitioner Forms
Business License Instructions
Orientation Materials
Payment Schedules
Practice Management System (Jane App) Setup:
Create and configure practitioner profiles
Implement charting templates
Manage biographical content and professional photos
Configure scheduling systems and room assignments
Insurance & Compliance
Register practitioners with ICBC portal
Manage private insurance company registrations
Schedule Management
Process time-off requests
Handle shift modifications
Coordinate room assignments
Maintain scheduling efficiency across all clinics
???? Administrative Excellence
ICBC Documentation
Submit and track Initial/Progress Reports
Handle Extension Reports
Ensure timely submission of all documentation
Billing Support
Provide backup support for billing operations
Process invoices and assist with billing documentation as needed
? Required Qualifications:
Proven experience in HR or administrative roles
Outstanding English communication skills (written and verbal)
Strong organizational and problem-solving skills
Proficiency in Microsoft Office Suite and Gmail
Experience with team collaboration tools (e.g., Microsoft Teams, Sintra AI)
Detail-oriented with excellent follow-through
Ability to work independently and manage multiple tasks efficiently
???? Preferred Qualifications:
Experience in the healthcare industry
Familiarity with Jane App or similar practice management systems
Knowledge of medical billing processes
Familiarity with ICBC and private insurance procedures
Multi-lingual capabilities (Korean, Chinese/Mandarin, French, or Farsi is a plus)
