JOB OVERVIEW

Job Overview:

We are seeking a highly organized and proactive HR Administration Specialist to join our team. This role is essential in supporting the HR department with a wide range of administrative tasks, including HR operations, employee onboarding, visa management, office duties, legal compliance, and tracking invoices. The ideal candidate will have a strong attention to detail, excellent communication skills, and a passion for ensuring smooth operational processes in a dynamic environment.

Key Responsibilities:

1. Human Resources Administration:
Assist in the day-to-day operations of the HR department.
Maintain employee records and ensure that all HR files are up-to-date and compliant with local regulations.
Administer HR processes, such as benefits enrollment, payroll coordination, and leave management.
Handle employee queries regarding HR policies and procedures.
2. Onboarding & Offboarding:
Manage the end-to-end onboarding process for new hires, including document collection, contract preparation, and coordination of induction sessions.
Facilitate offboarding for exiting employees, ensuring proper exit interviews and all necessary paperwork are completed.
3. Visa & Immigration Support:
Oversee visa and work permit processes for international hires, ensuring compliance with immigration laws and company policies.
Maintain up-to-date knowledge of immigration regulations and assist with renewals, extensions, and documentation related to work permits and visas.
Liaise with immigration lawyers and external agencies as necessary.
4. Office Administration:
Support day-to-day office operations, including managing office supplies, maintaining equipment, and coordinating with external vendors.
Handle correspondence and communication for the HR department, including responding to emails and phone inquiries.
Organize and maintain filing systems, ensuring accurate documentation and easy retrieval of information.
5. Legal Compliance:
Ensure HR policies, practices, and documentation comply with local labor laws and regulations.
Stay up to date with changes in employment law and recommend necessary policy adjustments.
Assist in maintaining workplace safety standards and documentation of relevant health and safety protocols.
6. Invoice Tracking & Administration:
Manage the tracking, processing, and filing of invoices related to HR and office administration activities.
Collaborate with finance and accounting teams to ensure timely and accurate payments to vendors and suppliers.
Assist in maintaining accurate records of HR-related financial transactions.
7. Other Administrative Support:
Provide administrative assistance to the HR department, including scheduling meetings, preparing documents, and handling general correspondence.
Coordinate and schedule training sessions, workshops, and employee events.
Support the implementation of HR projects and initiatives as needed.
Qualifications:

Bachelor's degree in Human Resources, Business Administration, or a related field.
Proven experience in HR administration, office management, or related roles (minimum 2-3 years).
Familiarity with immigration and visa processes, particularly for international hires.
Knowledge of labor laws and regulations.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to handle sensitive and confidential information with discretion.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS software.
Basic understanding of invoice tracking and financial processes is a plus.
