As the Booking and Guest Services Coordinator, you will be the primary point of contact for our guests, responsible for managing all aspects of the booking process and ensuring an outstanding guest experience during their stay. You will play a crucial role in coordinating property reservations, responding to guest inquiries, and providing concierge-level service. Your attention to detail and commitment to guest satisfaction will contribute to the success of our real estate investment firm.

Working Days and Hours
- Monday to Friday only
- 10:00am to 7:00pm CST / 12:00am to 9:00am PHT, including 1 hour lunch break

How is the day like with working with us?
- We have morning meetings that is lasting around 20 minutes, involve discussing pending tasks, receiving new assignments, and reviewing commitments.
- You are given flexibility to complete your tasks within the business hours, but after each shift, you must provide a report detailing tasks discussed in the morning meeting, tasks assigned via Trello or Google chat, completed tasks, pending tasks, manager approval tasks, and any challenges faced.

Key Responsibilities:
A. Booking Management
- Handle guest inquiries and reservation requests promptly and professionally.
- Manage and update property availability calendars to ensure accuracy.
- Coordinate property viewings for potential tenants and manage the booking process.
- Prepare and distribute booking confirmations and rental agreements.

B. Guest Services
- Serve as the main point of contact for guests before, during, and after their stay.
- Provide exceptional customer service by addressing guest questions, concerns, and special requests.
- Offer personalized concierge services, including restaurant reservations, transportation arrangements, and local activity recommendations.
- Ensure guests receive clear check-in/check-out instructions and information about the property.

C. Property Preparation and Maintenance
- Collaborate with maintenance teams to ensure rental properties are well-prepared for guest arrivals.
- Conduct property inspections to maintain high cleanliness and maintenance standards.
- Address guest-reported maintenance issues promptly and efficiently.

D. Local Knowledge and Recommendations
- Stay informed about local attractions, dining options, and events to provide valuable recommendations to guests.
- Create information packets or guides to help guests explore the local area.

E. Administrative Tasks
- Maintain organized records of guest information, reservations, and communications.
- Handle payment processing, including collecting rental fees and security deposits.
- Generate financial reports related to guest payments and expenses.

Qualifications
- Previous experience in a guest services, hospitality, or property management role is preferred.
- Exceptional communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficiency in property management and booking software.
- Knowledge of local attractions and amenities is a plus.

Technical Requirements:
- Operating System: Windows 10 or 11, 8GB RAM
- Internet Speed: Minimum 25 Mbps download/upload speed for smooth communication and task execution.
- Proficient in Google Workspace (Docs, Meet, Chat, Sheets, Drive, etc.), Trello for project management, Loom for recordings, and GoHighLevel for CRM and marketing automation.
- Technical Troubleshooting: Comfort with troubleshooting common technical issues related to software or internet connectivity to ensure minimal disruptions.
