THE ROLE

As the company’s Amazon Inventory Manager, you will be responsible for managing our company stock and forecasting. You will work directly with our teams in the Philippines, China, and the UK. We are a UK-owned company.

***RESPONSIBILITIES***

***STOCK MANAGEMENT***

MONITOR OUR WORLDWIDE STOCK: Check sales and stock numbers weekly to ensure we have stock in the right place at the right time!

MONITORING SHIPMENTS: Ensure timely arrival of shipments from China to the USA, UK, and Europe, and that any urgent stocks are immediately sent to Amazon. Verify that stock booked into the warehouse or Amazon matches the quantities shipped.

STOCK COUNTING: Liaise with our warehouses to carry out regular stock counts, investigating any stock discrepancies.

ETSY SHIPMENT: Monitor stock availability and adjust availability on Etsy using the Etsy e-commerce platform.

LIQUIDATING STOCK: Check stock of returns at Upgrade to see actual info (unfulfillable stock) and arrange liquidation where required.

***TRANSFERRING STOCK***

STOCK MOVEMENTS: Plan and monitor the movement of stock from our warehouses in the USA, UK, and China to Amazon globally.

CREATING AMAZON SHIPMENTS: Replenish our stock at Amazon by creating Amazon shipping plans via Seller Central.

MONITORING AMAZON SHIPMENTS: Take full responsibility for monitoring stock being delivered to Amazon, monitoring shipments, investigating discrepancies between Amazon and the warehouse, and creating Amazon cases to reconcile stock issues.

***SHIPMENTS***

SHIPPING PAPERWORK: Create packaging lists and commercial invoices for outbound shipments from China to our warehouse in the UK, USA, China, or directly to Amazon using Shipstation and SoStocked.

QUALITY CHECKING: Check factory images of packaging & labels to ensure products being shipped have been labeled correctly.

SOSTOCKED: Monitor and maintain SoStocked to ensure transactions, due dates, and shipments match actual quantities shipped.

MONITORING UK INBOUND SHIPMENTS: Update Amazon with IEN numbers from UK customs (training provided).
FORECASTING

ADJUSTING/MAINTAINING SETTING: SoStocked is complex stock software that requires constant human adjustments and checking to ensure it provides accurate forecasts.

PLANNING: Advise on stock to be ordered on a weekly/monthly or quarterly basis using SoStocked and Clickup for task management.

SEASONALITY: Manually adjust the ordering and shipping plans to accommodate seasonality based on previous sales periods.

***REPORTING***

REPORTING: Weekly reporting on stock situations such as out of stock, stock needing to be ordered, quantities needing to be ordered, and urgent stock requiring replenishing by air freight.

AMAZON STOCK LIMITS: Report current Amazon stock limits to the team and calculate where we could exceed these limits using Amazon Seller Central.

CHECKING SHIPPING PERFORMANCE: Monitor the shipping performance dashboard and address any Amazon issues highlighted using Scribe for SOP creation.

***MAINTAINING***

SIZE/WEIGHTS: Maintain sizes and weights in both SoStocked, Airtable, and Amazon.

MONITORING: Track the actual number of pallets stocked at each of our warehouses and cross-reference this against warehouse invoices using Pumble for communication.

OVERSIZE: Monitor items showing as oversize on Amazon and raise cases where required if Amazon is overcharging us.

***REQUIREMENTS***

- 3-4 years proven experience in Inventory Management & Amazon FBA
- Strong background in an e-commerce environment, specifically in requirements analysis, planning, forecasting, inventory control, and strategy
- Strong problem-solving ability to deconstruct complex activities into their component parts, track those parts, and manage the activities to completion
- Strong analytical skills
- Excellent Excel / Google Sheets skills are essential for this job
- Familiarity with SoStocked, Shipstation, Amazon Seller Central, Etsy, Clickup, Pumble, and Scribe would be preferred but is not essential; training will be provided.

***SALARY AND HOURS***

- Compensation: The starting salary for this position is $8 per hour, which is negotiable based on experience.
- Work Hours: The role requires up to 160 hours per month, with payment made monthly. Depending on performance, the maximum hours may be adjusted up to 50 hours per week.
- Flexibility and Performance: Hours and compensation are performance-based and subject to review, providing flexibility and potential for adjustment.
