The Position

We're looking for a superstar General Admin VA to take their career to the next level. This role is fully remote, requiring you to handle business admin, streamline operational processes, handle invoicing, and more for an Australian-based construction company. You’ll be working for an Australian boutique residential construction company that specialises in home renovations and extensions. Their eye for detail and meticulous approach to renovations is something their clients expect, so your VA skills, experience, and personality must be a match!

This is a role like no other. You'll work remotely from your home to:
Support day-to-day business operations, handle customer service tasks, and ensure the business runs efficiently.
Create SOPs, organise files, and handle tasks relating to invoicing, bank reconciliations, and expense tracking.

The Details

Job Location: Remote, work from home.
Company Location: Australia
Job Type: Full-time 40 hours per week.
Salary: 42,000 PHP / month + Paid Leave
Hours (in Philippine Time): 7:00 am - 3:30 pm PHT

MAIN RESPONSIBILITIES

GENERAL ADMIN
Improve Business Processes: Streamline and organise files and systems to keep the business running smoothly. Create SOPs (Standard Operating Procedures) for operational efficiency.
File & Document Organization: Organise files and records using Google Drive, OneDrive, or Dropbox.
Communicate with Clients: Provide phone and email support for clients and stakeholders. Handle enquiries, tasks for onboarding new clients, and maintain accurate CRM records.
Presentation & Report Preparation: Prepare and manage reports, presentations, and proposals. Manage schedules, appointments, and important calendar reminders.

DESIRABLES
Marketing tasks: Having some familiarity with Social Media, Canva, and making website updates is a plus.
Money tasks: Handle invoicing, bank reconciliation, accounts payable, payroll, expense tracking, and organise receipts for tax purposes.

SOFTWARE SKILLS

Proficient in: Google Workspace (Drive, Calendar, Gmail), DropBox, Microsoft Office, Zoom, WhatsApp, Loom, and Asana.
Not required, but desirable: Xero, Buildertrend (training provided), Meta and Squarespace.

WE WANT TO HEAR FROM YOU IF YOU HAVE…

Minimum 3-4 years of experience as a general admin, operations, customer support VA for US, Australian, or European clients.
Can handle all of the main responsibilities of the role as highlighted above.
Strong English communication skills (both written and verbal).
High attention to detail with excellent organisational skills.
Not required, but desirable:
Experience working in the residential construction industry.
Familiarity with social media management and making updates to websites.
