**About the Role**
We are looking for a highly organized and detail-oriented Bookkeeper and Executive Assistant with *strong NetSuite experience* to support financial operations and executive administrative tasks.
This role requires an individual who can wear multiple hats, proactively manage priorities, and work efficiently in a remote setting. The ideal candidate has bookkeeping and accounting expertise, experience as an executive assistant, and preferably a background in real estate management.
You should be comfortable with NetSuite, financial reporting, vendor management, scheduling, and handling day-to-day operational tasks for a fast-moving executive.
**Key Responsibilities**
**Financial Management & Bookkeeping
Hands-on experience with NetSuite for financial management and reporting
Maintain accurate financial records in QuickBooks
Prepare monthly financial statements (P&L, balance sheet, and cash flow reports)
Reconcile bank and credit card statements for accuracy
Manage accounts payable (AP) to ensure vendors and contractors are paid on time
Handle accounts receivable (AR), issue invoices, and follow up on collections
Monitor and process expense reimbursements
**Executive Assistant & Operations Support
Manage the executive’s calendar, appointments, and travel arrangements
Organize meetings, take notes, and follow up on action items
Handle
Conduct light research and prepare reports, presentations, and summaries as needed
Assist with hiring, onboarding, and coordinating with external teams
Maintain confidentiality while handling sensitive business and financial information
**Real Estate & Vendor Coordination
Support real estate operations by maintaining property financial records
Coordinate property maintenance requests and follow up with tenants and service providers
Work with property managers, contractors, and vendors to ensure smooth operations
Track rental payments, security deposits, and lease renewals
**Financial Strategy & Internal Controls
Assist in budgeting and forecasting to optimize financial performance
Implement internal financial controls to prevent fraud and mismanagement
Support cost-cutting initiatives and contract negotiations
**Qualifications & Requirements
3+ years of experience in bookkeeping, accounting, and executive support (preferably for U.S. clients)
Strong proficiency in NetSuite (Required)
Experience with financial reporting, AP/AR management, and cash flow oversight
Understanding of payroll processing, tax compliance, and budgeting
Strong problem-solving and analytical skills
Excellent English communication skills (written & verbal)
Ability to proactively manage multiple tasks and meet deadlines in a remote setting
**Preferred Skills (Bonus – make sure to mention!)
Experience supporting real estate businesses or property management
Experience with financial forecasting, budgeting, and cost-cutting strategies
Background in working with CPA firms or handling tax work
