Job Description:
We are looking for a Virtual Assistant with strong financial, administrative, and operational skills to support a US-based business. The ideal candidate will excel at managing payroll, budgets, and accounts while also tackling inbox management, research, and special projects. This role is perfect for someone who loves organizing chaos, finding solutions, and thinking outside the box.
Key Responsibilities:
Manage bi-weekly payroll using Gusto.
Oversee Accounts Receivable & Payable, sending payment reminders and follow-ups, and keeping QuickBooks updated.
File royalties monthly and quarterly using provided dashboards.
Manage and filter the executive’s inbox, ensuring only relevant
Create and maintain a weekly cash flow report.
Review and manage credit card statements for discrepancies and erroneous charges.
Build budgets and set financial quotas.
Research and find the best travel deals, arranging travel via points or cash.
Take on ad hoc projects to reduce the executive’s workload.
Draft and write proposals as needed.
Utilize AI tools like ChatGPT to improve writing efficiency.
Qualifications:
Proven experience as a Virtual Assistant or similar role, with a focus on finance, accounting, or operations.
Strong financial skills, including budgeting and cash flow management.
Excellent written English communication skills (should be able to match or mimic the executive’s voice when writing).
Experience using QuickBooks and Gusto.
Highly organized, reliable, and solutions-oriented.
Ability to think creatively and find efficient solutions to challenges.
Comfortable working in US hours and making calls to US numbers.
Tech-savvy and able to quickly learn and use new tools, including AI tools like ChatGPT.

Working Hours:
Part-time: Morning shift (8 AM - 12 PM MT or 1 PM - 5 PM MT)

Detail-oriented and highly organized.
Excellent problem-solving skills.
Sharp, professional written and verbal English communication.
Ability to quickly adapt and learn new processes.
Strong finance background with a focus on accuracy.
