Job Overview

CaldX is seeking a versatile and highly organized Multi-Disciplined Virtual Assistant to support our team with a combination of Executive Assistant, Social Media Assistant, and Recruitment Assistant duties. The ideal candidate will be proactive, tech-savvy, and skilled in managing diverse responsibilities. This role requires an individual who is detail-oriented, efficient, and able to handle confidential information with discretion.

Key Responsibilities

Executive Assistance
• Calendar Management: Schedule and manage appointments, meetings, and events; prioritize and adjust as needed.
Email Management: Organize and respond to emails, flagging important messages and maintaining an organized inbox.
• Travel Coordination: Arrange travel accommodations, including flights, lodging, and itineraries.
• Documentation and Reporting: Prepare meeting agendas, take minutes, and organize records and documents.
• Project Assistance: Assist with ongoing projects, keeping track of deadlines and deliverables.

Social Media Assistance
• Content Creation: Draft engaging social media posts, captions, and visual content for various platforms (e.g., Instagram, LinkedIn, Twitter).
• Scheduling: Manage and schedule content on social media platforms, ensuring consistency and alignment with brand voice.
• Engagement: Monitor and respond to comments, messages, and engagement on social media channels.
• Analytics: Track and report on social media metrics and campaign performance.
• Trend Monitoring: Stay updated on social media trends and propose new ideas for content and engagement.

Recruitment Assistance
• Job Posting: Write and post job descriptions on relevant job boards and social media channels.
• Screening: Review resumes and conduct initial candidate screenings to shortlist qualified applicants.
• Interview Coordination: Schedule and coordinate interviews with candidates and hiring managers.
• Onboarding Support: Assist with new hire onboarding by preparing documents and facilitating communication.
• Applicant Tracking: Maintain an organized tracking system for applicants and provide status updates as needed.
• LinkedIn Recruiter: Utilize LinkedIn Recruiter to search, screen, and engage qualified candidates effectively.

Qualifications

• Experience: Minimum 2 years of experience in virtual assistance, with proven skills in executive support, social media, and recruitment.
• Education: Bachelor's degree preferred, but relevant experience and skills are highly valued.
• Skills:
o Strong organizational and time-management abilities.
o Excellent written and verbal communication skills – B2 CEFR or higher.
o Proficiency with tools like Microsoft Office, Google Workspace, social media scheduling platforms, and applicant tracking systems (ATS).
o Experience using LinkedIn Recruiter for candidate sourcing.
o Knowledge of AI tools like ChatGPT and Gemini for productivity and workflow enhancement.
o Ability to work independently, manage multiple priorities, and maintain confidentiality.
o Familiarity with social media best practices and recruitment processes.
