JOB OVERVIEW

ABOUT THE ROLE:

We’re looking for a highly organized, reliable, and trustworthy Executive Virtual Assistant to support our company leadership. In this role, you’ll be the go-to person for helping our executives stay on top of email, documents, light scheduling, and general admin tasks.

You will also take on light task delegation responsibilities — helping assign small, day-to-day tasks from leadership to other members of our support staff (don’t worry — you’ll be taught how to do this and supported every step of the way).

This is a support-focused role for someone who thrives in helping others stay organized, enjoys learning, and is confident using tools like ChatGPT to assist with writing, research, or admin.

ABOUT US:
Dealfinders P.R. is Puerto Rico’s most advanced vehicle sales platform, connecting car dealerships and private sellers with serious buyers. We’re a fast-moving digital company that values efficiency, clarity, and communication. Our leadership team works across several departments, and you’ll play a key role in keeping them organized and supported day-to-day.

YOUR RESPONSIBILITIES:
Support the leadership team directly with administrative tasks
Organize and respond to emails, manage inbox folders, and flag high-priority messages
Keep Google Drive and shared folders structured and up to date
Follow SOPs to complete tasks and help update internal documentation
Use ChatGPT to draft content, perform research, or organize information
Create Canva graphics based on templates
Help with basic scheduling or calendar coordination
Upload documents, enter data into spreadsheets, and keep task trackers updated
Delegate simple tasks from leadership to support staff as instructed
Track progress and follow up to make sure small assignments are completed
Assist with internal communication across tools like email, Slack, or task boards

REQUIREMENTS:
Strong English communication skills (written and spoken)
Experience using ChatGPT or similar AI tools (and confident navigating it)
Extremely organized and detail-oriented
Familiar with Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
Able to follow instructions and SOPs precisely
Confident, but respectful communicator — especially when relaying messages or delegating small tasks
Stable internet connection with a backup plan in place (critical)

BONUS IF YOU HAVE:
Experience supporting CEOs, executives, or managers
Familiarity with task management tools like ClickUp, Trello, or Notion
Past experience coordinating with small remote teams

WORK SCHEDULE & HOLIDAYS:
Split-shift or flexible schedule to allow for overlap with U.S. business hours
We observe both U.S. and Philippine holidays (New Year’s Day, Lunar New Year, Maundy Thursday, Good Friday, Bataan Day, Labor Day, Philippines Independence Day, National Heroes Day, Bonifacio Day, Feast of the Immaculate Conception, Christmas Day, Rizal Day)
Paid time off available after 90-day probation (with proper notice)
