Job Posting: Executive Virtual Assistant
We are seeking a highly organized and detail-oriented Executive Assistant to join our team and help manage critical operational and administrative functions. This role requires a proactive individual with a knack for keeping processes running smoothly and efficiently while ensuring our talent and project management systems are up to date.
Key Responsibilities:
Password Management:
Oversee and manage password provisioning.
HR & Payment Tracking:
Monitor payments, hours reported on Upwork, costs on Fiverr, and create HR reports weekly.
Reconcile hours reported on Upwork with those in our project management apps.
Talent Onboarding & Recruitment:
Follow established processes to onboard new talent seamlessly.
Continuously source and evaluate new talent candidates through interviews and quizzes.
Deadline & Task Management:
Work out of Airtable to manage talent and monitor project priorities.
Update estimated due dates based on team feedback.
Detail-Oriented Documentation: Name documents correctly and update details meticulously.
Process Automation & AI Tools:
Utilize tools like ChatGPT or equivalents to enhance efficiency.
Familiarity with no-code platforms such as WeWeb, Supabase, Make, n8n, or Airtable is a plus.
Personal Support: Occasionally assist the CEO with personal and administrative tasks.
Qualifications:
Strong organizational and multitasking skills.
Demonstrated ability to manage multiple systems and processes with high attention to detail.
Excellent communication skills and the ability to work collaboratively across teams.
Proactive problem-solver with a strong sense of accountability.
**Proficiency in Airtable and No-code familiarity is a plus but NOT required at all.
