JOB OVERVIEW

We manage a portfolio of hostels and month-to-month accommodations across different locations in US. Our focus is on providing a seamless guest experience while ensuring smooth property operations. We are looking for a dedicated, full-time Executive Virtual Assistant (Executive VA) to join our team. This role will oversee a team of VAs, manage day-to-day operations, and drive growth.

Key Responsibilities:

Team Management & Oversight:
- Supervise and support the team of Virtual Assistants responsible for guest communications, reservations, and property operations.
- Review and confirm timesheets from all staff; ensure completion, accuracy, and timely reporting each month.
- Assist VAs with any of their tasks as needed (guest communications, reservations, maintenance, inventory, and vendor coordination).
- Step in to handle escalations, sensitive guest issues, or complex bookings.

Reservations & Listings Management:
- Ensure all listings are up to date across Airbnb, Upgrade to see actual info, Expedia, and other platforms.
- Manage rental agreements for month-to-month tenants.

Inventory & Purchasing:
- Oversee inventory levels of supplies (e.g., toiletries, cleaning products) across properties.
- Make inventory purchases as necessary to avoid stockouts.
- Maintain expenses and purchases in accounting

Maintenance Coordination:
- Track and schedule maintenance requests across all hostels and month-to-month accommodations.
- Ensure maintenance tickets are logged, tracked, and closed efficiently.

Software & Tool Use:
Utilize Cloudbeds, Whistle, Whatsapp, and Airtable for property management, guest communication, and operations tracking.

What We Are Looking For:
- Proven experience as an Executive Virtual Assistant or in a similar senior-level operational role.
- Strong organizational, problem-solving, and multitasking abilities.
- Excellent written and verbal communication skills.
- Familiarity with hospitality platforms like Airbnb, Upgrade to see actual info, Expedia, and property management systems (e.g., Cloudbeds, Whistle).
- Ability to lead and motivate a remote team while staying hands-on with operational tasks.
