We're looking for a dynamic and versatile professional to join our team as an Executive Assistant, contributing to both our sales success and executive management excellence. Key Deliverables:
• Answer Phones during business hours (8 am-5 pm PST).
• Qualify the Prospects: are they a good potential law firm client?
• Manage calendars efficiently when scheduling meetings and appointments (prospect & clients).
• Send Post Appointment
o they get a video to watch
o pre-consult information worksheet
o appointment confirmation
• Determine if the caller has simple questions they can answer or arrange for a callback from the attorney.
• Review the Client Intake Form provided by the attorney and input that information into our Action Step HotDocs system to produce estate planning documents
• Edit Estate Planning documents to conform to formatting provided using Microsoft Word
• Manage the CRM system (Action Step), customer interactions, and sales progress (Initial Consultations, post-IC
• Keep database/CRM (Action Step) updated and accurate with new and corrected information.
• Review data integrity. Assist with segregating different groups in our database: estate planning clients, prospects, financial services clients, and financial services prospects.
• (Sales Outreach) Be the friendly face of our firm in virtual interactions. Engage leads through personalized, strategic outreach and nurture relationships through
• (Lead Generation) Leverage advanced tools and data sources to compile comprehensive lead lists that align with our ideal customer profiles.
• Collaborate closely with the team to strategically manage and prioritize leads in the sales funnel.
• Employ data-driven insights to enhance lead progression, ensuring no opportunity falls through the cracks.
• Handle confidential information with discretion and professionalism.
• SOP creation and maintenance to ensure that processes are put in place and implemented.
• Perform general administrative tasks and other administrative duties as required.
Requirements:
• Prior experience in executive support or administrative roles in a Law Firm is a huge PLUS.
• Proven experience in sales outreach (LinkedIn & social media prospecting), business development, or related fields, with a track record of achieving targets and fostering client relationships.
• Proven experience in lead generation, with a strong ability to identify, engage, and nurture potential clients through targeted outreach and strategic follow-up.
• Exceptional organizational skills, and ability to manage multiple tasks and priorities simultaneously.
• Proficient in CRM systems and tools for document production.
• Proficient with database management by ensuring attention to detail, proofreading for accuracy, correcting misspellings, standardizing abbreviations, and maintaining consistency throughout.
• Exceptional communication skills, both written and verbal.
• Strong organizational and multitasking abilities with keen attention to detail.
• Tech-savvy with a high degree of proficiency in Microsoft Office Suite or Google Suite.
• Innate problem-solving abilities, with a proactive attitude toward finding creative solutions for clients' needs.
• Excels in collaboration, takes initiative, and consistently delivers reliable, proactive results.
• Upholds honesty, trust, and ethics in all actions to build strong relationships and maintain a positive reputation.
• Self-motivated and driven, with a passion for staying ahead of industry trends and continuously improving sales techniques.
