Scope of Responsibilities
- The Executive Assistant to the Director of Operations plays a crucial role in ensuring the efficiency and effectiveness of daily operations. The ideal candidate will be highly organized, proactive, and possess excellent multitasking skills.

- Calendar Management: Schedule appointments, coordinate meetings, and ensure smooth daily operations.
- Executive Assistance: Provide direct support to C-suite executives and senior managers.
- Bookkeeping: Manage expense tracking, bill payments, and expense reports.
- Research: Conduct competitor analysis, trend research, and gather relevant data.
- Travel & Logistics Arrangement: Handle flight bookings, accommodations, and transportation.
- Document Preparation: Create reports, presentations, and spreadsheets.
- Order Fulfillment & Returns: Process and manage orders efficiently.
- Data Entry & Management: Maintain accurate records and databases.
- Confidentiality Management: Handle sensitive company information with discretion.
- Team Support: Assist the Operations Director in managing and coordinating team activities.
Required Skills & Experience
To excel in this role, candidates must demonstrate proficiency in the following:
- Core Skills: Strong communication, leadership, organization, problem-solving, analytical thinking, time management, budgeting, project coordination, and adaptability.
- Project Management: Ability to manage day-to-day tasks, oversee teams, and ensure smooth workflow.
- Technical Support: Experience troubleshooting software and assisting with online platforms.
- Software Proficiency: Must have experience with:
- eClinicalWorks
- Microsoft 365 & OneDrive
- Microsoft Teams
- Microsoft Excel (including calculations & advanced functions)
Basic Requirements
- Clear proficiency in spoken and written English.
- Relevant experience in medical administrative work.
- Ability to provide an NBI Clearance or Local Police Clearance upon request.
- Availability for video meetings with the camera on.
- No engagement with other clients during scheduled work hours.
Technical Requirements
- Device: Reliable laptop or desktop computer.
- Internet: High-speed connection (minimum 10 Mbps).
- Audio: Noise-canceling headset.
- Video: Functional webcam for virtual meetings.
