Virtual Rockstar is seeking a detail-oriented and proactive Executive Assistant to join our client’s dynamic team. This role is crucial in helping maintain organization, enhance existing systems, and ensure the delivery of unparalleled customer service to students.

Our client’s online business offers virtual courses and resources designed to support OTs in providing a holistic, client-centered approach. They host one in-person conference annually, along with two in-person labs, bringing their community together to learn and grow.

About Our Client:

We are a passionate husband and wife team dedicated to empowering occupational therapists (OTs) in their journeys, whether it’s specializing in pelvic health or starting their own private practices. With a focus on building a warm and inclusive community, we pride ourselves on being accessible cheerleaders for our students. Family is our top priority, and we cherish every moment with our two kids, aged 12 and 10.

Responsibilities:


Email
Management: Oversee correspondence with students and ensure timely responses.
Podcast Editing: Assist in editing and preparing podcast episodes for release.
Presentation Formatting: Create and refine presentations for various purposes.
Calendar Management: Schedule meetings and manage our calendar to reflect all obligations.
Invoicing & Customer Certificates: Handle invoicing processes and issue certificates to students.
Research & Information Gathering: Conduct research as needed to support our initiatives.
Task Coordination: Help coordinate projects and manage timelines effectively.
Event Organization: Assist in planning and organizing events and gatherings.
Systems Improvement: Develop Standard Operating Procedures (SOPs) and training tools to enhance efficiency.
Travel Planning: Organize travel and prepare itineraries for conferences and events.

Qualifications:

3+ years of experience as an executive assistant or in a similar role.
Proficiency with Google Workspace, Excel, Canva, Camtasia, and PowerPoint.
Exceptional attention to detail and a proactive mindset.
Strong organizational skills and ability to manage multiple priorities.
Excellent communication skills, both written and verbal.
A keen interest in supporting occupational therapists and their professional growth.
