Responsibilities of the Executive Assistant:

Your responsibilities include:

Project Management:

Document Organization:
> Create and maintain organized folders for client documents.
> Ensure timely updates and additions to these documents as necessary
> Standard Operating Procedures (SOPs):
> Develop and implement SOPs to facilitate smooth internal project management and progress
> Meeting Coordination:
> Create internal agendas for meetings and define follow-up tasks.
> Record action items and review meeting recordings to ensure all points are addressed and tracked

Typical Project Flow:

Intake & Onboarding:
> Collect initial information, create client document folders, and obtain Profit & Loss statements

Client Engagement:
> Facilitate client onboarding by sending a welcome email, recording notes of their vision and goals, and gathering organizational and shareholder information

Resource Planning:
> Identify and utilize necessary resources from the client’s information library
> Plan Development:
> Develop and execute a detailed plan for the client, discussing action items for both the client and the internal team

Progress Tracking:
> Monitor and chart progress towards achieving client goals, ensuring all milestones are met efficiently


Executive Assistance:

Travel Management:
> Oversee travel arrangements for the client, including booking domestic travel twice a month and one international trip per year
> Calendar Management:
> Manage and maintain the client's calendar, scheduling appointments, and ensuring all commitments are met

Relationship Building:
> Maintain and strengthen relationships within the network by sending personalized gifts and reminders for important dates.
> Keep track of client interactions and network updates


Email
Management (nice-to-have):
> Filter and label emails, ensuring important messages are addressed by the client
> Document relevant information received via email and integrate it into client documentation

Personal Administration:
> Handle personal tasks for the client, such as ordering items and managing personal errands to help optimize their time
