Role Overview
We’re seeking a highly organized, proactive, and resourceful Executive Assistant / Operations Coordinator to support our leadership team and streamline operations across various departments. This is a pivotal role that combines administrative, operational, and data management responsibilities to help the business achieve its goals. The ideal candidate will have exceptional communication skills, adaptability, and a strong ability to prioritize tasks effectively.
Key Responsibilities
Administrative Support
Inbox Management: Organize and handle
Standard Operating Procedures (SOPs): Draft, update, and maintain operational processes and documentation.
Operations Coordination
Team Communication: Regularly connect with trainers, media buyers, and other tea
Authority & Respect: Maintain a professional yet approachable demeanor when coordinating with internal and external stakeholders.
KPI & Data Tracking: Track key metrics for trainers, ads, and social media using tools like Google Sheets, ClickUp, and Hublytics.
Maintain a master document for business performance.
Sales & Lead Management
Daily Sales Reporting: Oversee sales data using platforms like Go High Level and Hublytics, ensuring accurate tracking and reporting.
Lead & Data Management: Organize and manage client data to maintain a clean and actionable database.
Client Support & Feedback: Address issues, track client feedback, and coordinate with tea
Additional Tasks
Support & Follow-Up: Provide follow-up assistance across departments using ClickUp.
Sales Calls (Optional): Handle inbound or outbound sales calls if required, with training provided.
Skills & Qualifications
Education: University-level proficiency in English (written and verbal communication).
Experience: Prior experience as an Executive Assistant, Operations Manager, or a similar role.
Technical Proficiency:
Familiarity with ClickUp, Go High Level, and Hublytics (training provided if needed).
Strong command of Google Sheets for KPI and data tracking.
Core Skills:
Ability to multitask and adapt to shifting priorities.
High attention to detail with strong organizational skills.
Effective communication and interpersonal abilities.
Confidence to interact with tea
