As our business grows, we seek a highly organized and proactive Virtual Executive Assistant & Email Management Specialist to join our team and support our continued success.

Job Overview:
We are looking for a detail-oriented and tech-savvy Virtual Executive Assistant who will also take on the critical role of managing and optimizing our team’s email communications. This role is pivotal in ensuring that our account managers are responsive to clients, follow up on important matters, and maintain high levels of client satisfaction.

Key Responsibilities:
Executive Assistant Duties:
Administrative Support: Provide high-level administrative support to the CEO, including calendar management, meeting coordination, and task prioritization.
Project Management: Assist in managing various projects, ensuring deadlines are met and tasks are completed efficiently.
Communication: Act as a liaison between the CEO and other team members, ensuring smooth communication and task delegation.

Email
Management:
Inbox Monitoring: Monitor and manage the email accounts of 20+ account managers, ensuring prompt responses to client inquiries.
Response Time Tracking: Track response times and ensure all client emails are addressed within the designated SLA (Service Level Agreement).
Follow-Up Management: Ensure that the team follows up on client emails, tasks, and important matters, reducing the risk of missed communications or client dissatisfaction.
Complaint Identification: Monitor emails for potential client complaints or issues that may indicate a risk of losing the client. Flag these issues and coordinate with the relevant account managers for immediate resolution.
Reporting: Provide regular reports on email response times, follow-up status, and any identified client risks to the CEO.
Qualifications:
Experience: Minimum 3 years of experience as a Virtual Assistant or Executive Assistant, preferably with experience in email management.
Tech-Savvy: Proficient in using email management tools, CRMs, and project management software. Experience with tools like Help Scout, Front, or Gmelius is a plus.
Excellent Communication: Strong written and verbal communication skills. Ability to handle sensitive information with discretion.
Organizational Skills: Exceptional organizational and multitasking abilities. Must be detail-oriented and able to manage multiple priorities simultaneously.
Proactive and Reliable: A self-starter who can work independently and take initiative to resolve issues without constant supervision.
Problem-Solving: Strong problem-solving skills and the ability to handle unexpected challenges with poise.
