JOB OVERVIEW

JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

•You will be responsible for managing the books and reporting across the company, including bi-weekly / monthly payroll, bank account reconciliation, management of tax-related duties like filing quarterly tax payments and monthly sales tax payments (we do have a CPA that manages annual tax filings for the company)
•Reviewing and reconciling bank (3) and credit card (2) accounts and maintain monthly reporting around tax write-offs and documentation; identify and address account discrepancies
•Manage payroll (reviewing timesheets for accuracy) for employees and contractors via direct payment and ADP
•Privy to confidential information about our finances and our team, and we will be relying on you to look out for the best interests of our financial health
•Manage Quickbooks and related spreadsheets to help monitor the financial health of the business overall
•You will also intimately support our CEO Heather Bach with duties related to coordinating appointments (to involve calling and coordinating with Canadian-based companies), managing her calendar in Jane App, Trello, Helpscout, Monday, and coordinating communication to keep a lot of plates spinning in the air!
•Maintain the clinic calendar in a thoughtful and purposeful manner, ensuring meetings contain the appropriate attendees, agenda items, zoom links and any changes are done with full consideration of various time zones
•Manage CEOs inbox, to include organizing emails, reading emails, prepare outgoing mail or correspondence, prioritizing responses from the CEO, etc
•Attend meetings with and in place of the CEO, when requested, to identify action items, deliverables, and follow-ups and ensure all is documented for tracking / completion by the team or other stakeholders
•Google Drive management – implement and keep track of organization of documentation and filing processes for the business
•On our client onboarding process: manage onboarding + communication with incoming clients via email; scheduling calls with various team members; organize the onboarding process for the company
•Understand the CEO's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
•Partner closely with the HR, Client Care, and Marketing for the CEO to coordinate needs across the organization
•Take ownership of additional duties and special projects, as needed

EXPERIENCE AND SKILLS REQUIRED:

•Bachelor's Degree in Finance, Accounting or relevant field; 3 years work-related experience highly preferred
•3+ years of bookkeeping experience
•2+ years of experience as an Administrative Assistant providing assistance in the areas of inbox and calendar management
•Having experience as an Executive Assistant for the C-Suite is preferred but not required
•Be highly organized and detail oriented
•At least 1 year Hands-on experience with Quickbooks
•Certification in Quickbooks a huge plus
•Advanced knowledge of Excel / Google Spreadsheets (using financial formulas and creating spreadsheets for reports, budgeting, etc)
•Managing account reconciliation and payroll using GAAP (Generally-Accepted Accounting Procedures). Experience with •Canadian tax accounting is a huge plus.
•Excellent English skills, and able to communicate very well both verbally and in writing, and excellent presentation skills
•Possess strong attention to detail, time management skills, and excellent team working skills
•Demonstrate a solid typing WPM (ideally 55 wpm+).

Job Type: Full-time
Schedule: Monday-Friday 8am-5pm PST // Monday - Friday 11pm-8am PHT
Salary Range: P40,000-60,000 monthly, depending on experience. We offer paid time off to all full-time team members and a 13th month pay at the end of the year as a bonus.
