Position Summary Executive Assistant:
The main responsibility of this role is Executive Assistant to the CEO of HealThySelf.co and Head Talent, Inna Segal. The position is responsible for providing a broad range of secretarial, executive and administrative services as required. You will manage day-to-day scheduling and administrative duties, coaching calls, online events in a confidential manner, acting as liaison between the team and Inna ensuring information flow and providing a professional first point of contact between the team, clients and CEO/Inna, particularly during
Main Responsibilities:
> Manage Inna’s Events: Masterclass + Coaching Calls + Mentorship Calls
> Liase between Talent and Team to successfully manage: Landing Sales Pages, Slides, Membership Portals Content Uploads, Client Access Levels
> Manage Inna’s Client Communication Portals: Inna’s Helpdesk + Inna’s Community (make sure Inna responds in timely manner)
> Coordinate with Team and Partners: Finance, Creatives, Tech for all Events & Masterclass
> Manage membership payments concerns
> Manage Inna’s Calendar and liaise on behalf of Inna when needed
> Act as liaison between the team and CEO/Inna to obtain information required and deliver between all parties in a timely manner so that calls/projects/events can be completed. This will require a solid understanding of the team and CEO/Inna requirements and the ability to convey this information succinctly and correctly
> Assist with conveying Inna’s wish list and vision around events and marketing efforts
> Be proactive and think about issues and questions that might arise between the team and Inna to minimise the need for excessive back and forth communications
> Answer telephone calls and respond to general queries, imparting information and actioning, referring and/or escalating matters as appropriate.
> Diary management and scheduling and being very familiar with Inna’s schedule, coordinating meetings and arranging travel (when needed) for Inna
> Greeting and assisting a range of clients in a professional manner.
> Drafting and preparing documents, reports and correspondence including
> Investigating and resolving routine issues.
