Executive Assistant – Elise Buie Family Law Group (Remote, PST)



The Executive Assistant role is a contract position.

Position Overview:

This role is designed for a highly accountable and detail oriented Executive Assistant to support our family law team. The right person will have exceptional organizational skills, a keen attention to detail, and the ability to juggle multiple tasks simultaneously. The position plays a critical role in managing calendar events, arranging travel, booking reservations, and supporting the team and Chief Executive Officer (CEO) in various administrative capacities. Your attention to detail and ability to plan ahead will be crucial to helping us achieve our mission of delivering outstanding client service.

Key Responsibilities:

Calendar & Scheduling: Effectively coordinate and manage complex calendars for CEO and teaUpgrade to see actual infombers, schedule internal and external meetings, and ensure that all details are meticulously organized.

Travel & Reservations: Book travel, accommodations, and make reservations as needed for CEO and teaUpgrade to see actual infombers.

Communication: Serve as a liaison between vendors, clients, and internal teaUpgrade to see actual infombers, ensuring prompt follow-ups with clear and smooth communication.

Administrative Support: Provide general administrative support, including organizing files, sorting mail, and managing supplies.

Vendor & Contractor Coordination: Maintain relationships with vendors and contractors, ensuring deliverables are met and payments are processed on time.

Process Improvement: Proactively identify and implement process improvements to streamline office management and increase efficiency.

Team Support: Assist teaUpgrade to see actual infombers with timely scheduling, preparing documents, and tackling a variety of administrative tasks as needed by a specified deadline.

Confidentiality & Compliance: Ensure confidentiality is maintained and legal and firm policies are adhered to at all times.



Qualifications:

At least 2 years of experience in an executive assistant or similar administrative role, preferably in a law firm or high-paced work environment.

Strong experience in calendar management, scheduling, and managing multiple priorities.

Excellent communication skills, both written and verbal, with the ability to build rapport and maintain relationships with clients, vendors, and teaUpgrade to see actual infombers.

High level of emotional intelligence and the ability to navigate complex interpersonal dynamics.

Meticulous attention to detail, ensuring accuracy and follow-through on tasks.

Ability to work independently and proactively, as well as collaboratively within a remote team.

Experience with Dropbox, MS Office 365, Slack, and video conferencing tools (Zoom, etc.) is preferred.

Experience with Clio or similar legal software is a plus.

Strong problem-solving skills with the ability to adapt quickly to changing needs and priorities.

Must have reliable internet and phone access, and pass a background check.

Must be comfortable making calls to handle travel arrangements, book reservations, and coordinate logistics.

Must be amenable to work in PST U.S. hours.
