JOB OVERVIEW

Reports to: Valeria Paz, Founder of Valgorithm
Location: Remote (must be available during Eastern Time (EST) business hours)
Hours: Full-time, 160 hours per month, 8 non-working holidays

Job Overview
Valgorithm is seeking a highly organized and proactive Virtual Assistant to provide administrative support for both the company and its clients. The Virtual Assistant will work directly with Valeria Paz, receiving training and direction while also being client-facing in communication and administrative support. This role requires strong communication skills, attention to detail, and the ability to work independently while following established processes.

Responsibilities
Provide general administrative and executive assistant support.
Manage client communications via email, including follow-ups and status updates.
Maintain client-facing spreadsheets and databases (e.g., Airtable) to track information and status.
Assist with scheduling, travel booking, and other personal tasks as needed.
Follow up on tasks and keep clients informed of progress.
Ensure seamless coordination between Valeria and clients by managing administrative workflows efficiently.
Adhere to processes and best practices established by Valgorithm to maintain consistency and professionalism.
Provide project support as assigned by Valeria to optimize client workflows and systems.
Assist the client with updating spreadsheets, tracking payments, and following up with clients on outstanding balances.
Support the business owner with tracking business tasks and any personal matters such as scheduling travel and other administrative needs.

Requirements
1+ years of experience as a virtual assistant or in a similar administrative role.
Strong written and verbal communication skills.
Proficiency with email, spreadsheets, and other productivity tools.
Ability to follow instructions, prioritize tasks, and work independently.
Familiarity with tools like Gmail, Outlook, and Airtable is a plus.
Excellent organizational and multitasking skills with attention to detail.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Financial background or experience tracking payments is a plus.

Working Relationship with Valeria and Clients
The Virtual Assistant will be employed and managed directly by Valeria, not by the clients.
Valeria will provide training, direction, and oversight to ensure alignment with client needs.
The Virtual Assistant will work closely with Valeria to support clients, regularly updating her on tasks and progress.
While primarily working behind the scenes, the Virtual Assistant may engage with clients for scheduling, travel arrangements, and other administrative support.
Valeria will be the main point of contact between the Virtual Assistant and the client, ensuring consistency in communication and execution.Upgrade to see actual infoDay Plan

First 30 Days (Onboarding & Training)
Onboard with Valgorithm by completing training on Valgorithm’s processes, tools, and client expectations.
Begin onboarding with Client by shadow Valeria to understand workflows and communication styles.
Assist with small administrative tasks to get familiar with daily operations.
Begin managing email follow-ups and simple scheduling requests.
Provide weekly progress updates to Valeria.
Days 31-60 (Increased Responsibility & Client Interaction)
Take on more responsibility in managing client communications and scheduling.
Maintain and update client-facing spreadsheets and databases independently.
Handle task follow-ups and provide status updates without direct oversight.
Track payments and follow up with clients on outstanding balances.
Assist with tracking business tasks and any additional personal matters for the business owner.
Identify potential improvements in workflows and suggest optimizations.
Continue refining understanding of each client's needs and working style.
Days 61-90 (Full Execution & Process Optimization)
Fully manage assigned client communications and administrative tasks.
Work proactively to anticipate client needs and address issues before they arise.
Assist with process documentation and refinement for efficiency.
Provide feedback to Valeria on ways to improve service delivery.
Act as a seamless extension of Valeria’s support to the clients.
