The Executive Assistant oversees systems for client service and care, consistently seeking new, innovative, and efficient business processes that save time and money. As the success of the business grows, this individual may be responsible for hiring, training, and leading additional department members to ensure all administrative tasks continue to be completed to high standards with maximum efficiency.
Responsibilities
These are the standards a well-above-average performer will maintain or exceed:
Improves and oversees systems including commission calculations, marketing, transaction management, reporting and tracking, communication, financial management, and customer service
Supports the President by managing calendars, scheduling appointments, preparing agendas, creating social media posts, etc.
Assists as needed in documenting new systems for tracking and expansion systems planning.
Is responsible for all financial systems assuring the collection of commissions, reviewing the budget and generating financial reports as needed.
Facilitates the listing process including scheduling of photography, inputting to MLS and creating necessary marketing materials.
Oversees the transaction coordination process ensuring timely closing of all contracts.
Maintains and updates an operations manual, tea
Coordinates the purchase, installation, and maintenance of all office equipment.
