We are seeking a highly organized, tech-savvy, and proactive Executive Assistant to support the operations of our Jiu-Jitsu gym. This role is crucial in handling administrative tasks, lead management, social media execution, financial reconciliation, and event coordination to help drive the gym’s growth.

SALARY $1500 per month

This is a full-time remote position requiring expertise in CRM systems, video content management, financial software, and gym management platforms. The ideal candidate will be able to work independently while keeping all business functions aligned with our growth strategy.

Key Responsibilities:
1. Administrative & Executive Support:
Manage the CEO’s calendar, emails, and appointments.
Handle data entry, document management, and reports.
Assist in preparing contracts, agreements, and internal policies.
Manage travel bookings (flights, hotels, transportation).

2. Sales, Lead Management & Customer Relations:
Use Go High Level to track and follow up with potential students and leads.
Respond to customer inquiries via email, phone, and social media.
Assist with membership sign-ups, renewals, and cancellations.
Handle billing, invoicing, and payment tracking.
Effectively use Gym Master (our gym management system) to ensure a smooth customer experience.

3. Financial & Payment Reconciliation:
Reconcile payments in Xero to keep financial records up to date.
Track and manage gym expenses, payments, and financial reports.
Work with the finance team to ensure accurate invoicing and revenue tracking.

4. Social Media & Content Creation:
Organize videographers and video editors to create and edit promotional videos.
Stick to our social media content plan and ensure timely execution.
Schedule and manage Facebook, Instagram, and YouTube posts.
Assist in running email campaigns and newsletters.

5. Event & School Outreach Coordination:
Contact local schools to organize free self-defense and BJJ seminars.
Coordinate with schools, corporate partners, and affiliates to promote community engagement.
Help organize special events, workshops, and competitions.
Assist with sponsorship and partnership outreach.

6. Research & Reporting:
Conduct market research on competitors and industry trends.
Prepare reports on membership growth, retention, and sales performance.
Keep track of industry developments and best practices.
Qualifications & Requirements:

Must-have skills:

Excellent written and verbal English skills.
Experience as an Executive Assistant, Virtual Assistant, or Operations Manager.
Proficiency in Go High Level, Gym Master, and Xero (or willingness to learn quickly).
Strong organizational and time-management skills.
Experience in managing video editing projects and content marketing.
Ability to coordinate with schools, videographers, and marketing teams.
Social media scheduling and execution experience.

Bonus Skills (Preferred but Not Required):

Experience in customer service or sales.
Basic knowledge of Brazilian Jiu-Jitsu or martial arts (or willingness to learn).
Experience using Canva or Photoshop for basic graphics.
Work Schedule & Benefits:

Full-time, remote position (40 hours/week).
Flexible work hours (but some overlap with Australian time zones required).
Monthly salary based on experience (competitive for the PH market).
