We’re growing fast and need an Executive Assistant to help optimize operations, handle administrative tasks, support SEO efforts, manage our social media presence, and assist with basic video editing.
Role Overview:
We are looking for a highly organized and proactive Executive Assistant to support the Founder by managing administrative functions, contributing to our SEO strategy, overseeing social media platforms, and assisting with video content creation. This role is crucial in streamlining operations, maintaining organization, improving online visibility, and helping grow our digital presence through high-quality content.
Key Responsibilities:
Administrative & Executive Support
Manage and optimize the Founders’ calendar.
Schedule and organize business and personal meetings.
Filter, prioritize, and respond to
Maintain digital files and documentation for the company.
Coordinate business travel, accommodations, and itineraries.
Handle invoices, minor bookkeeping, and financial tracking.
Assist with onboarding, SOP documentation, and training processes.
Liaise with vendors, contractors, and partners to ensure smooth operations.
SEO & Website Optimization:
Conduct keyword research for local SEO strategies.
Optimize and update the website's metadata, blogs, and content.
Manage Google My Business and other online directories.
Track SEO performance and suggest improvements.
Work with developers to improve site speed and performance.
Repurpose social media content into blog articles for additional reach.
Social Media Management:
Manage Instagram,
Create and schedule engaging posts, reels, and updates.
Monitor and respond to comments, messages, and inquiries.
Engage with followers, influencers, and industry communities.
Analyze social media performance and track engagement growth.
Research trending topics and hashtags to improve organic reach.
Assist in content repurposing (e.g., converting long-form videos into short clips for social media).
Video Editing & Content Creation:
Edit short-form videos for Instagram Reels, TikTok, and YouTube Shorts.
Enhance long-form YouTube videos with engaging elements.
Add subtitles, effects, and overlays to improve video quality.
Organize and store raw video footage for future content.
Optimize video content to match platform requirements and audience preferences.
Coordinate with content creators to ensure a steady flow of marketing material.
Lead Management & Sales Support:
Manage inbound leads from
Schedule quote assessments into the sales team’s calendar.
Follow up with leads to ensure timely appointment booking.
Track and manage lead data in CRM (e.g., GoHighLevel, ServiceTitan).
Maintain communication between the sales team and inbound prospects to ensure smooth handoffs.
Inventory & Material Management:
Maintain inventory levels for all job materials
Conduct weekly inventory checks to ensure adequate stock levels.
Place orders proactively to prevent shortages and avoid job delays.
Track supplier deliveries and ensure materials are received on time.
Coordinate with the job scheduling team to anticipate material needs for upcoming projects.
Manage relationships with suppliers to secure the best pricing and availability.
Maintain an organized system for tracking usage and reordering materials as needed.
Operational & Process Management:
Develop and maintain business SOPs for streamlined operations.
Assist in project management tools (Trello, Notion, GoHighLevel, Asana).
Track and report on admin, SEO, social media, and lead conversion performance.
Follow up with tea
Oversee CRM operations and help with automation where needed.
Customer & Vendor Communication:
Respond to inbound customer inquiries and route them appropriately.
Maintain a strong presence in Google My Business reviews and social media responses.
Handle vendor relationships and ensure smooth coordination.
Ensure seamless communication between Founders, employees, and clients.

Skills & Experience Required:
Admin & Executive Support Experience (2+ years preferred).
SEO & Website Optimization – Basic to intermediate knowledge of on-page SEO, keyword research, and Google My Business.
Social Media Management – Experience managing business accounts on Instagram,
Tech & Software Proficiency – Experience with Google Workspace (Docs, Sheets, Drive, Gmail), project management tools (Trello, Notion, Asana), and website platforms (WordPress, GoHighLevel, or similar).
Inventory & Procurement Management – Ability to track inventory levels, place material orders, and manage supplier relationships to ensure timely delivery of essential materials.
Operational & Process Management – Ability to develop and maintain SOPs, manage job workflows, and optimize administrative and field operations.
Strong Written Communication Skills – Able to write professional
Customer Service or Sales Support – Experience handling inbound customer communication is a plus.
Lead & CRM Management – Experience managing
Video Editing & Content Creation (Preferred but Not Required) – Basic knowledge of Adobe Premiere Pro, CapCut, Final Cut Pro, or similar tools for editing short-form video content.
Vendor & Supplier Coordination – Ability to communicate with suppliers, negotiate pricing, and ensure the business has the right materials for scheduled jobs.
