JOB OVERVIEW

1. Executive Support & Task Delegation
Manage Calendar & Scheduling
Organize meetings, events, and appointments for executives.
Coordinate travel arrangements (flights, accommodation, transport).
Set reminders for deadlines and critical events.

Email
Management
Prioritize, filter, and respond to incoming emails.
Draft and send emails on behalf of executives.
Organize email folders and manage follow-up actions.
Document Preparation & Organization
Draft reports, presentations, and other documents.
Maintain filing systems (both digital and physical).
Delegate Tasks to Superiors or Other Departments
Identify tasks requiring attention and assign to appropriate superiors or team members.
Ensure deadlines and priorities are met across the team.
Follow up on delegated tasks to ensure completion.
2. Client & Lead Generation
Generate Client Leads
Research potential clients or business opportunities.
Use platforms like LinkedIn, industry websites, and other lead generation tools to identify prospects.
Develop a lead list with contact details for outreach.
Follow-Up on Leads
Contact new leads by email, phone calls, or other communication methods.
Track the lead status and update the CRM (Customer Relationship Management) system.
Client Onboarding
Ensure smooth onboarding process for new clients (e.g., contracts, introductory meetings, etc.).
Gather necessary client information and maintain detailed records.
3. Social Media & Digital Presence
Social Media Management
Monitor and update company social media accounts (LinkedIn, Instagram, Twitter, etc.).
Create and schedule content to engage the audience (posts, articles, etc.).
Engage with followers, reply to comments, and direct messages.
Create and Maintain Digital Campaigns
Plan and execute online marketing campaigns to generate leads or promote services.
Track engagement metrics and adjust strategy based on performance.
Website Management
Monitor website traffic and update content when necessary.
Coordinate with the web team to ensure accurate information is reflected.
4. Business Relationships & Networking
Build & Maintain Business Relationships
Network with industry professionals, potential partners, and clients.
Attend meetings, events, or conferences to represent the company and build connections.
Maintain Relationships with Existing Clients
Regularly check in with current clients to assess satisfaction and identify additional needs.
Organize meetings and calls to strengthen relationships.
Customer Retention Strategies
Propose loyalty programs, promotional offers, or additional services to retain clients.
5. Client Communication & Support
Manage Client Communications
Respond to client inquiries promptly, via email, phone, or chat.
Maintain clear, professional communication channels with all clients.
Client Issue Resolution
Handle client complaints or issues, escalating when necessary.
Track issues to resolution, ensuring customer satisfaction.
Schedule & Organize Client Meetings
Coordinate client meetings, both virtual and in-person.
Prepare agendas, materials, and notes for meetings.
6. Team Compliance & Task Management
Monitor Team Compliance
Ensure the team follows company policies and industry regulations.
Regularly review compliance documents and protocols.
Reporting & Compliance Tracking
Prepare reports on team performance and ensure that compliance tasks are on track.
Maintain up-to-date knowledge of industry standards and regulations.
Organize Team Meetings
Schedule team meetings to discuss progress, challenges, and compliance updates.
Prepare minutes of meetings and ensure action items are followed up.
7. Administrative and Operational Support
Organize Office Logistics
Order office supplies and manage office equipment.
Coordinate with vendors and service providers.
Data Entry & Management
Enter and update client information into CRM or database.
Track and manage internal documents and client files.
Prepare Financial Reports
Assist in tracking expenses, creating financial summaries, or organizing receipts.
Liaise with the finance team for budget tracking and expenditure approvals.
8. Miscellaneous & Special Projects
Assist with Ad-Hoc Projects
Support the executive team on various initiatives and special projects.
Research and provide data or proposals for new business opportunities.
Handle Personal Requests for Executives
Manage personal calendars, appointments, and travel arrangements as required.
