We Are Looking for a Smart, Proactive, and Detail-Oriented Administrative Assistant to Join Our Team!

We’re looking for an experienced Executive Assistant who is proactive, detail-oriented, and ready to contribute to the seamless operation of our team. Strong communication and multitasking skills are essential, and we welcome applicants who are excited to make a meaningful impact!

This is a permanent, fixed position, ideal for someone with strong communication and multitasking skills who is eager to contribute effectively to our team’s success.

• Key Responsibilities: •

• Inbound and Outbound Calls / Phone Management: Manage phone calls and inquiries, providing excellent customer service.
• Calendar and Email Management: Assist with scheduling, coordinating meetings, and managing email correspondence.
• Inside Sales – Client Intakes: Conduct client intake calls and ensure new clients are seamlessly integrated into our services.
• Project Coordination: Assist in coordinating various projects, ensuring deadlines and objectives are met.
• Social Media Engagement: Manage daily social media posts and interact with followers to maintain engagement.
• Newsletter Management: Oversee and contribute to the creation and distribution of newsletters.
• Meeting Moderation: Help moderate meetings to ensure smooth discussions and outcomes.
• Ad Hoc Assignments: Assist with various administrative tasks as needed, demonstrating flexibility and adaptability.
• Assist Administrator: Support the Administrator with day-to-day tasks and responsibilities.
• Client Engagement: Contact new clients at the start of services and at defined intervals to ensure satisfaction.
• Employee Engagement: Regularly check in with field employees at the start of new client services and at set intervals to ensure smooth operations.
• Client Satisfaction: Work towards increasing the client satisfaction score to 9.0 or higher through excellent service and support.

What We’re Looking For:

• Great communication skills and attention to detail
• Strong organization, time management, and flexibility
• Proficiency with Microsoft Office and social media tools
• A positive, team-oriented approach

Job Expectations:

• One of your primary responsibilities will be providing full-cycle administrative support for efficient
agency operations. Some tasks include calendar, email, and social media management; inbound and outbound calls; backup phone support; internal sales; project coordination; newsletter management; meeting moderator; and ad hoc assignments as needed.

While hours to be worked for this position may vary depending on the agency’s needs, we primarily expect that you will be available to work Monday to Friday from 8:00 am - 5:00 PM EST.
