About Us: We are a dynamic and fast-growing real estate company looking for a highly organized and proactive Executive Virtual Assistant to support our team. This role will involve working closely with real estate agents, investors, and executives, providing administrative support, handling client communications, managing schedules, and helping streamline day-to-day operations.
Key Responsibilities:
Administrative Support:
Manage and organize executive calendars, schedule appointments, and set reminders.
Coordinate meetings, conference calls, and appointments for the real estate team.
Prepare and manage documentation, contracts, and other real estate-related paperwork.
Draft, proofread, and send
Maintain and update the CRM (Customer Relationship Management) system with client and property data.
Client Communication:
Respond to client inquiries via phone,
Serve as a liaison between clients, agents, and other stakeholders, ensuring timely follow-up and clear communication.
Assist in scheduling property showings, meetings, and other client-related events.
Real Estate Listings and Marketing Support:
Assist in creating, updating, and managing real estate property listings on websites and MLS (Multiple Listing Service).
Help with marketing materials such as
Track and monitor social media channels to engage with clients and prospects.
Manage and update the company’s website with current listings and property information.
Transaction Coordination:
Assist with transaction management by helping to prepare necessary documentation for property sales.
Communicate with clients, lenders, inspectors, and other professionals involved in the transaction process.
Keep track of timelines, deadlines, and contingencies throughout the transaction process.
Data Entry and Reporting:
Input data into spreadsheets, CRMs, or project management tools.
Generate reports, create presentations, and organize data for internal meetings or client presentations.
Research and Market Analysis:
Conduct market research on properties, neighborhoods, trends, and competitors.
Provide competitive market analysis (CMA) data and assist in pricing properties.
Other Administrative Tasks:
Help with personal tasks or projects as needed (e.g., travel bookings, event planning).
Assist with any ad-hoc tasks that arise, contributing to the smooth operation of the real estate business.
Qualifications:
Proven experience as a Virtual Assistant or in an administrative role, preferably in real estate.
Strong knowledge of real estate industry terminology, processes, and software (e.g., MLS, CRM tools, Docusign, Google Workspace, Microsoft Office Suite).
Excellent communication skills, both written and verbal.
Strong attention to detail and ability to multitask effectively.
Proactive with a problem-solving mindset and ability to work independently with minimal supervision.
Familiarity with social media platforms and basic marketing tools.
Ability to maintain confidentiality and handle sensitive client information with discretion.
Ability to work flexible hours and manage different time zones (if applicable).
Knowledge of project management tools (e.g., Trello, Asana, Basecamp) is a plus.
Preferred Skills:
Experience with real estate transaction management tools (e.g., Dotloop, Skyslope).
Knowledge of basic SEO and digital marketing.
Experience in managing online lead generation campaigns.
