Overview:
We are seeking an organized, proactive, and resourceful Executive Assistant (EA) to support the Managing Director of a dynamic recruitment firm. The EA will play a critical role in ensuring smooth daily operations, managing schedules, and serving as a key liaison across the business. Key Responsibilities:
- Calendar & Schedule Management: Coordinate and maintain the MD’s schedule, prioritizing meetings and appointments while anticipating needs and preparing necessary documents.
- Communication & Liaison: Serve as the primary point of contact between the MD and internal/external stakeholders, handling communications with professionalism and discretion.
- Meeting Preparation & Support: Organize and prepare for meetings, including preparing agendas, taking minutes, and following up on action items.
- Project Management Support: Assist the MD in project tracking and execution, ensuring timely follow-up and status updates for various recruitment initiatives.
- Travel Arrangements: Plan and book travel, accommodations, and logistics for the MD’s business trips and client meetings.
- Documentation & Record Keeping Prepare, edit, and maintain confidential documents, reports, and presentations; manage filing systems and ensure accurate record keeping.
-Client Relationship Management: Assist in managing client interactions, tracking key touchpoints, and providing excellent service to clients on behalf of the MD.
- Office Administration:Support the MD with general administrative tasks, handling office supplies, managing correspondence, and overseeing certain office operations as required.
Key Skills & Qualifications:*
- Proven experience as an Executive Assistant, ideally within recruitment, HR, or a fast-paced professional services environment.
- Strong organizational and multitasking skills, with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with CRM or recruitment software is a plus.
- High level of discretion and professionalism, with a track record of handling sensitive information.
- Proactive, detail-oriented, and comfortable taking initiative.
