Position Overview: The Executive Assistant is responsible for ensuring the smooth operation of various departments, ensuring that all tasks are executed with excellence. The role involves coordination with multiple departments such as Onboarding, Licensing, Client Experience, and Marketing, along with supporting key company initiatives and meetings.
Key Responsibilities:
1 Department Management and Reporting:
-Oversee the performance of different departments
-Ensure each department meets its daily, weekly, and monthly metrics.
-Conduct daily check-ins and check-outs, with weekly wrap-up meetings on Fridays.
-Provide full reports detailing department performance, including metrics and tea
2 Executive Assistant Duties:
-Over Policy Department
-Regularly communicate with the Coach (Monday, Wednesday, and Friday) to provide comprehensive updates.
-Mobilize teams on Tuesday for upcoming Wednesday operations.
-Prepare and deliver PowerPoints
-Ensure timely completion of marketing cycles
-Distribute daily quotes (morning and afternoon).
3 Onboarding:
-Track weekly agent onboarding, including the total number of agents and completion rates.
-Monitor onboarding deadlines and transition agents to the correct departments.
-Rebook agents
4 Licensing:
-Monitor the number of agents studying, booked for exams, passed, and appointed.
-Track licensed agents
-Provide a weekly licensing update including net licensed agents.
5 Client Experience:
-Track metrics
-Automate deadlines for new agents and provide weekly and monthly reports.
6 Generating Metrics:
-Track key performance indicators
-Provide weekly and monthly performance reports.
7 CFT (Certified Financial Trainer) Progress:
-Track new agents
-Monitor
-Report
8 Marketing:
-Oversee the timely execution of marketing strategies.
-Ensure all marketing materials and cycles are delivered on time.
-Provide any additional marketing support as needed.
9 Contests:
-Weekly updates on running contests and qualifications
-Organize contest rewards and gear options at the end of each month.
10 Meetings:
-Coordinate and organize all meetings for departments and key company initiatives.
-Ensure meeting agendas and reports are completed and distributed on time.
Qualifications:
-Excellent organizational and multitasking skills.
-Strong communication and reporting abilities.
-Ability to work across multiple departments and ensure high standards of performance.
-Proficiency in preparing presentations and marketing materials.
