Job Summary:
The Executive Assistant to the CEO is a pivotal role within Painter Marketing Pros, requiring a highly intelligent and efficient individual who excels at managing multiple high-priority tasks seamlessly. This role demands a proactive approach, exceptional problem-solving skills, and the ability to execute tasks accurately on the first attempt. The ideal candidate will offer robust support to the CEO, facilitating the effective leadership and management of the company through meticulous organization and strategic time management.
Key Responsibilities:

2. Travel Coordination: Arrange all elements of travel with attention to detail, from booking flights to preparing comprehensive travel itineraries, ensuring all trips are flawlessly executed.
3. Confidential Support: Provide high-level support by performing a full spectrum of administrative duties with the utmost discretion and integrity, handling sensitive information with the highest degree of confidentiality.
4. Meeting Management: Prepare agendas, take meticulous minutes, and diligently track and follow up on action items, ensuring effective execution of decisions.
5. Communication Liaison: Act as the primary communication channel between the CEO and internal and external stakeholders, maintaining clear, concise, and professional exchanges.
6. Project and Event Management: Oversee and manage special projects and events, ensuring superior organization and exceptional outcomes that reflect positively on the CEO and the company.
7. Decision Support: Facilitate informed decision-making by preparing thorough reports, gathering critical data, and conducting insightful research to support the CEO’s strategic planning.
8. Office Administration: Manage the CEO’s office environment efficiently, ensuring all resources are optimally maintained and readily available.
9. Phone Management: Operate the PMP phone, managing inquiries and communications effectively.
10. Document Preparation: Draft, review, and edit correspondence, reports, and presentations.
11. Task Coordination: Collaborate with various departments to ensure tasks are completed accurately and on time.
Requirements:
1. Intelligent and Proactive: Must be highly intelligent, detail-oriented, and able to execute tasks effectively the first time.
2. Technical Proficiency: Skilled in using productivity tools (e.g., Microsoft Office, Google Workspace) and able to quickly learn new software.
3. Confidentiality: Proven ability to handle confidential information with discretion.
4. Organizational Skills: Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
5. Flexibility: Adaptable and capable of managing changing priorities and unexpected tasks.
6. Communication Skills: Excellent verbal and written communication skills with a neutral accent.

Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- At least 3 years of proven experience as an Executive Assistant, preferably in a corporate setting.
- Demonstrated ability to think critically and solve problems effectively.
- Exceptional organizational skills with the aptitude to manage multiple tasks and projects simultaneously.
- Superior written and verbal communication skills.
- Advanced proficiency in Google Suite and modern business communication tools.
