About the Client: A pioneering ag-biotech startup leveraging prairie-derived microbes to boost crop yields and improve soil health. The company is seeking a proactive and detail-oriented Executive Assistant to support the CEO and CSO in managing daily operations, streamlining internal processes, and enhancing communications. This role is ideal for individuals who thrive in fast-paced environments, are resourceful, and enjoy implementing new systems.

Key Responsibilities:


Email
& Outreach Management:

Review and respond to simple emails.
Delete spam and organize emails into categories.
Research missing investor contacts and update the investor database.
Send email sequences through HubSpot.
Find and add relevant contacts on LinkedIn, ensuring proper follow-up.
Assist in preparing the company’s monthly update, including picture formatting,
finding news, and updating events.
Project & Calendar Management:

Track CEO’s tasks and ensure timely completion using Asana.
Set up calendar events, ensuring no conflicts, rescheduling as needed, and adding travel

This will require coordination with various stakeholders, including the CEO.

Keep the CEO’s event document updated, cross-checking for conflicts.
Ensure the day’s events are updated for the morning daily update email.
Meeting Management:

Lead end-of-day and end-of-week meetings with the CEO.
Manage recurring meetings with investors, interns, and mentors.
Phone & Personal Work Email Management:

Check and manage personal work emails when necessary.
Call individuals who do not respond to emails, especially when scheduling is time-sensitive.
Process Improvement & Intern Management:

Provide feedback and help automate processes.
Assist in managing student interns.
Keep executive admin training and process maps updated and create new ones that have not been created.
