Job Title: Virtual Assist Client Coordinator
Job Description:
We are seeking an organized and proactive Virtual Assist Client Coordinator to manage the recruitment, onboarding, and ongoing coordination of virtual assistants for our clients. This role is critical in ensuring smooth and efficient operations between clients and their dedicated VAs. The ideal candidate thrives in a fast-paced environment, has excellent communication skills, and is detail-oriented.
Key Responsibilities:
Job Creation & Recruitment:
Draft detailed job descriptions tailored to client needs.
Post job listings on relevant platforms and manage applications.
Review resumes to shortlist qualified candidates.
Pre-Screening & Interviews:
Conduct initial pre-screen interviews with candidates to assess suitability.
Schedule and coordinate second-round interviews with clients.
Facilitate client interviews, providing relevant candidate insights and feedback.
Contract & Onboarding:
Prepare and send contracts to selected candidates.
Provide onboarding checklists to ensure a seamless start for new hires.
Client & VA Coordination:
Send warm introduction
Ensure clear communication of expectations, responsibilities, and goals.
Administrative Support:
Generate and send invoices for services rendered.
Follow up with clients and VAs as needed to address any concerns or queries.
Qualifications:
Proven experience in recruitment, talent coordination, or virtual assistant management.
Exceptional organizational and multitasking skills.
Strong written and verbal communication abilities.
Proficiency in using project management tools,
Ability to handle sensitive information with confidentiality.
Preferred Skills:
Experience in client relationship management.
Familiarity with virtual assistant roles and remote team dynamics.
Background in contract preparation and invoicing processes.
