Personal Assistant Job Description (Day Shift and Night Shift)

Position: Personal Assistant to Operations Manager Ayana Bramlett

Reports To: Ayana Bramlett, Operations Manager for Stormy Wellington Enterprises
Location: Remote
Hours:
• Day Shift: 9:00 AM - 5:00 PM EST
• Night Shift: 5:00 PM - 1:00 AM EST

Overview

Join the fast-paced and dynamic team managing the empire of Stormy Nichole Wellington. As a personal assistant to Ayana Bramlett, you will be responsible for ensuring daily operations run seamlessly. Your role will include website maintenance, email management, scheduling, and administrative tasks while maintaining a high standard of excellence and efficiency.

Key Responsibilities
1. Website Maintenance
• Conduct daily checks on all websites during your shift (minimum 3 times).
• Ensure all buttons are functioning and there are no error messages.
• Screen record each check and save the recording to a designated Google Drive folder.
2. Email Management
• Monitor and respond to emails on behalf of Ayana.
• Flag and alert Ayana to tasks or events requiring her attention.
• Organize email communications for efficient follow-up.
3. Graphic Design
• Create flyers and graphics as needed using Photoshop, Adobe, and Canva.
• Ensure high-quality and professional designs that align with branding standards.
4. Scheduling and Task Management
• Schedule appointments and meetings on behalf of Ayana.
• Maintain a daily task sheet to track assignments and ensure deadlines are met.
• Communicate with Ayana daily to provide updates and follow-up reminders.
5. Documentation and Organizational Excellence
• Develop and maintain detailed spreadsheets for tracking business operations.
• Assist in creating and managing Standard Operating Procedures (SOPs).
6. Communication and Coordination
• Maintain clear and consistent communication with Ayana during your shift.
• Proactively identify and resolve issues, ensuring all tasks are executed efficiently.

Requirements
• Proven expertise in graphic design with proficiency in Photoshop, Adobe, and Canva.
• Strong administrative skills, including email management and scheduling.
• Advanced knowledge of spreadsheets (e.g., Microsoft Excel, Google Sheets).
• Experience creating and managing SOPs.
• Excellent communication skills, with the ability to follow up and prioritize tasks effectively.
• Detail-oriented with strong organizational abilities.
• Ability to work independently while maintaining accountability and delivering results.

Preferred Qualifications
• Previous experience as a personal assistant or in a similar role.
• Familiarity with Google Workspace tools (Google Drive, Google Calendar, Gmail).
• A proactive, problem-solving mindset with the ability to thrive in a high-pressure environment.
