Gilson Property Group is seeking an experienced and detail-oriented Database and Listing Administrator to join our growing team. This role is essential for maintaining accurate and optimized property listings, managing our Zoho CRM system, and supporting lead generation, marketing, and customer service initiatives. The ideal candidate will have a strong background in CRM tools, real estate support, and customer service, helping us streamline operations, enhance client relationships, and provide exceptional guest experiences.
Key Responsibilities
Listing Management
• Regularly update and maintain property listing content (descriptions, photos, pricing, and availability) across platforms like Airbnb,
• Ensure listings align with our brand standards and are optimized for performance.
• Monitor and analyze listing performance, implementing improvements to increase bookings and customer satisfaction.
CRM Administration
• Manage and maintain Zoho CRM, ensuring data integrity, automation, and reporting accuracy.
• Create workflows, dashboards, and reports to support sales, marketing, and operations teams.
• Train tea
Customer Service
• Respond to calls from the call center and coordinate resolutions within the team.
• Create and manage reservations using the reservation management tool.
• Respond to guest messages during assigned shifts, ensuring timely and professional communication.

Lead Generation & Marketing Support
• Assist in executing lead generation initiatives, including
• Track and analyze lead performance data, providing actionable insights to improve conversion rates.
• Collaborate with the marketing team to nurture leads through targeted campaigns and follow-ups.
Administrative Excellence
• Support operational tasks, including calendar management, research, and document preparation.
• Leverage tools like Zapier to automate workflows and enhance productivity.
• Maintain an organized approach to data entry, reporting, and project management.
Qualifications
Required Skills & Experience
• Extensive experience with Zoho CRM or similar platforms (e.g., Salesforce, Follow Up Boss).
• Background in real estate support, including MLS platforms, lead generation, and property listings.
• Proven ability to manage data, workflows, and client relationships effectively.
• Experience in customer service, including phone and messaging support.
• Proficiency in project management tools (e.g., Trello,
• Strong analytical skills for tracking performance and optimizing processes.
Preferred Skills
• Experience with marketing tools such as Mailchimp, Constant Contact, and social media platforms.
• Familiarity with real estate tools like RedX, Boomtown, and BatchLeads.
• Bonus: Experience developing Zoho workflows, automation, and app integrations.
• Basic knowledge of automation platforms like Zapier.
