JOB OVERVIEW

Overview:
We are seeking a highly skilled and results-driven Corporate Events Coordinator to support the coordinating, and organizing logistics for a wide range of corporate events, conferences, trade shows, and virtual events. The ideal candidate will have a proven track record in organizing both a variety of events with a strong focus on client satisfaction, event strategy, and logistical excellence. This position requires an individual with experience coordinating complex event logistics, excellent attention to detail, and the ability to work in a fast-paced, dynamic environment.

Key Responsibilities:

Event Strategy, Design & Execution

Oversee and manage all aspects of corporate event logistics, including strategy, from start to finish.
Define event objectives and goals, ensuring alignment with company branding and business objectives.
Ensure that all event details are meticulously planned including, contract negotiations, and stakeholder management.

Project Management & Operations

Lead project management efforts for all events, ensuring timelines, deliverables, and budgets are met.
Utilize a variety of project management tools and methodologies (e.g., RACI, Agile, Scrum, Kanban) to track event progress and maintain clear communication with stakeholders.
Develop and maintain event documentation, including project plans, budgets, timelines, and post-event evaluations.
Oversee scheduling, coordination, and communication of all event-related activities, including travel arrangements and accommodation.

Budget Management & Cost Optimization

Manage event budgets up to $30K, ensuring cost-effective solutions while maintaining high-quality standards.
Identify opportunities for cost reduction and negotiate contracts with venues, suppliers, and vendors.
Provide detailed ROI reporting for events, assessing the success and effectiveness of each event based on set objectives.

Vendor and Stakeholder Management

Source and manage event vendors, including audiovisual, décor, catering, transportation, and staffing.
Cultivate strong relationships with key stakeholders, clients, and suppliers to ensure smooth event operations and deliver high levels of customer satisfaction.
Coordinate and oversee the participation of sponsors, exhibitors, and speakers, ensuring all requirements are met.

Post-Event Evaluation

Facilitate post-event evaluations, gathering feedback from stakeholders to attend future events.
Ensure the successful delivery of promotional materials, product displays, and other event collateral.

Qualifications:

5+ years of experience in corporate event planning, project management, or a related field.
Project Management certification preferred.
Proven experience in managing large-scale events, including trade shows, conferences, and corporate functions.
Strong understanding of event strategy, budgeting, logistics, and vendor management.
Excellent communication, organizational, and interpersonal skills.
Ability to manage multiple projects simultaneously and meet tight deadlines.
High attention to detail and a creative mindset to deliver exceptional event experiences.
Proficient in event management software, CRM systems, and project management tools.

Preferred Skills & Experience:

PMP (Project Management Professional) certification or related certifications are a plus.
**Experience with sponsorship activation and exhibitor management.
