JOB OVERVIEW

Job Title: Virtual Project Manager & Bookkeeper

Position Overview:

We are seeking a highly organized and detail-oriented individual to serve as both a Virtual Project Manager and Bookkeeper for our construction company. This dual role is essential for managing construction projects from start to finish, ensuring every dollar is tracked, budgets are maintained, and all contractors, payments, and agreements are handled efficiently. The ideal candidate will be proficient in construction project management and financial tracking, utilizing tools such as JobProgress, Leap, and QuickBooks to ensure seamless project execution and financial oversight.

Key Responsibilities:

Project Management:

1. Project Tracking & Coordination:
• Manage construction project timelines, milestones, and deliverables using JobProgress and Leap.
• Ensure that all contractors and subcontractors are scheduled appropriately and that work is completed on time.
• Coordinate with clients, suppliers, and on-site teams for smooth communication and project progress.
2. Budget Management:
• Monitor and maintain project budgets, ensuring costs are allocated properly and staying within financial limits.
• Manage change orders and ensure proper documentation of budget adjustments.
3. Contractor & Supplier Coordination:
• Oversee contracts with subcontractors and suppliers, ensuring compliance with agreements and timely payments.
• Track progress and approve payments based on project milestones.
4. Client Communication:
• Provide regular project updates and financial reports to clients, addressing any concerns and managing expectations.

Bookkeeping:

1. Expense Tracking & Job Costing:
• Track and allocate all job-related expenses (labor, materials, permits) in QuickBooks for accurate job costing and financial management.
• Ensure every dollar is accounted for and assigned to the correct project.
2. Invoicing & Payments:
• Manage invoicing for clients based on project milestones or percentage completion.
• Track and process contractor and subcontractor payments in line with contract agreements and project progress.
3. Accounts Payable/Receivable:
• Maintain accounts payable and receivable, ensuring timely payments to vendors and collecting outstanding invoices from clients.
4. Financial Reporting:
• Generate and provide regular financial reports, including Profit & Loss statements, job profitability reports, and cash flow updates.
• Reconcile project budgets and report any variances or issues promptly.

Qualifications:

• Proven experience in construction project management and/or bookkeeping.
• Proficiency with JobProgress, QuickBooks, and Leap or similar CRM and financial management tools.
• Strong organizational and multitasking skills.
• Excellent communication and problem-solving abilities.
• Ability to work independently and remotely, managing multiple projects simultaneously.
• Attention to detail and a commitment to maintaining accuracy in financial reporting and project management.
