JOB OVERVIEW

We are looking for a Client Service Coordinator to be the first point of contact for our clients and ensure they receive an exceptional experience from their initial inquiry to the conclusion of their matter. The ideal candidate will have outstanding communication skills, a client-focused mindset, and the ability to manage multiple priorities in a fast-paced law firm environment.

Key Responsibilities

Client Interaction:
Serve as the first point of contact for prospective and existing clients via phone, email, and in-person interactions.
Answer inquiries, schedule consultations, and provide updates on case status with professionalism and empathy.
Maintain a welcoming and supportive atmosphere for clients, ensuring they feel valued and informed throughout their experience.
Scheduling and Coordination:
Manage attorney and team calendars, scheduling client appointments, court dates, and meetings.
Coordinate internal and external communications to ensure timely responses and resolutions.
Administrative Support:
Update and maintain client records in the firm’s CRM and case management systems.
Process intake forms, gather necessary documentation, and ensure accurate data entry.
Assist with billing inquiries and payment processing.
Process Improvement:
Identify opportunities to enhance client services and contribute ideas for streamlining workflows.
Support marketing initiatives, such as follow-ups with leads or coordinating client feedback surveys.\

Qualifications

Experience:

Minimum 2 years in a customer service, client relations, or administrative role in a law firm or professional services environment.
Experience with case management systems or CRMs is highly preferred.
Skills:

Exceptional verbal and written communication skills.
Strong organizational and multitasking abilities.
Tech-savvy, with proficiency in Microsoft Office, Google Workspace, and scheduling tools.
Attributes:

High level of emotional intelligence and the ability to handle sensitive client matters with discretion and care.
Positive attitude and proactive problem-solving skills.
Ability to work effectively under pressure and manage competing priorities.

Working Conditions:

Fully Remote
Must be amenable to night shift
