The Client Admin Lead will be responsible for overseeing client administrative functions, ensuring exceptional client service, and managing administrative support staff. This role requires strong organizational skills, attention to detail, and the ability to facilitate seamless communication between clients, attorneys, and support teams. The ideal candidate will have experience in a legal environment and a commitment to maintaining confidentiality and compliance with legal regulations.
Key Responsibilities:
Serve as the primary point of contact for client administrative needs, ensuring timely and professional responses.
Manage and oversee administrative staff, including training, scheduling, and performance evaluations.
Develop and implement efficient administrative processes to enhance client service and operational effectiveness.
Maintain and update client records, ensuring accuracy and compliance with legal requirements.
Support attorneys with client onboarding, engagement letters, billing, and case file management.
Ensure all client communications and documentation are handled in accordance with firm policies and confidentiality standards.
Collaborate with IT and compliance teams to ensure secure handling of client data and adherence to firm policies.
Monitor and improve administrative workflows to enhance efficiency and client satisfaction.
Assist with conflict checks, due diligence, and compliance reporting as required.
Manage scheduling of client meetings, court appearances, and deadlines to support attorneys effectively.
Qualifications & Skills:
Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
Minimum of 5 years of experience in a law firm or professional services environment.
Strong leadership and team management skills.
Excellent communication and interpersonal skills.
Proficiency in legal practice management software and Microsoft Office Suite.
Strong understanding of legal terminology and client confidentiality requirements.
Exceptional organizational and multitasking abilities.
Ability to work under pressure and meet deadlines.
