Client Overview:
The company specializes in providing advanced scanning and copying solutions for libraries, archives, and museums, with a focus on book and document conservation. They have grown to become a leading supplier in the sector, offering both innovative products and in-house developed solutions to meet unique customer needs. In recent years, the company has expanded its services to include document digitization, archive box storage, and confidential shredding.

Role Overview:
We are seeking a highly reliable, organized and detail-oriented Part-Time Bookkeeping Assistant to join our team and to help manage daily financial tasks for our diverse and growing business. This role involves supporting the business owner and finance department with bookkeeping, maintaining accurate financial records, administrative tasks and ensuring smooth financial operations of the business. The ideal candidate will have a focus for detail and a solid and up to date understanding of bookkeeping practices. The assistant will help ensure accurate financial record-keeping and contribute to the smooth financial operations of our business.

Key Responsibilities:
Data Entry & Maintenance:
Input and maintain financial data into accounting software
Record transactions such as purchases, sales, receipts, and payments in the general ledger.
Assist in tracking accounts payable and receivable, ensuring all invoices are accurate and timely.
Transaction Recording:
Enter income, expenses, and payments into accounting software Sage and excel spreadsheets.
Identify and resolve discrepancies between bank statements and internal financial records.
Reconciliation:
Reconcile bank and credit card statements and monitor accounts payable/receivable.
Invoicing:
Prepare and send invoices, track payments, and manage receipts.
Expense Tracking:
Categorise and record business expenses.
VAT Quarters:
Preparing the VAT returns for submission through our online submission system and VAT reports for the review of the and directors
Financial Reporting:
Generate basic financial reports for review by the Directors (P&L, balance sheet, month end etc.).
Compliance:
Ensure records meet UK financial regulations.
General Administrative Support:
Provide administrative support to the finance team, such as scheduling meetings, preparing documents, and maintaining databases.
Assist with any other finance-related administrative tasks as assigned

Requirements:
Experience in bookkeeping/accounting.
Proficiency in Sage accounting software and Excel Sheets.
Strong attention to detail and accuracy.
Knowledge of UK tax/accounting regulations (preferred).
Excellent organisational skills and ability to work independently and manage multiple tasks.
Good communication skills, both written and verbal.

Preferred:
AAT qualification or similar.
Experience with small businesses.
Familiarity with VAT, month end and year end.
