JOB OVERVIEW

We seek a detail-oriented and client-focused Back-Office Agent who is an expert in Email and Calendar handling to support our team and clients in managing email accounts and calendar systems. The ideal candidate will have strong technical skills, excellent communication abilities, and a proactive attitude to ensure smooth and efficient day-to-day scheduling and email correspondence operations. A part-time position with room for full-time.

Key Responsibilities:


Email
Management:
= Monitor and manage incoming email requests, filter spam, and ensure that important communications are prioritized.
= Respond to and resolve clients' queries related to email access, settings, and configuration issues.
= Provide guidance on best practices for email organization, folder management, and archiving.
= Assist clients with setting up email forwarding, signatures, and vacation replies.

Calendar Management:
= Support users with creating, modifying, and scheduling calendar events (e.g., in Google Calendar, Microsoft Outlook, etc.).
= Help users manage multiple calendars, sync events, and ensure proper event notifications.
= Coordinate meeting invites, and room bookings, and facilitate scheduling conflict resolution.
= Assist with recurring event setup and ensure reminders are configured as per user preferences.
= Assist with integrating third-party calendar tools or applications with existing systems.

Troubleshooting and Support:
= Investigate and resolve any technical issues related to email and calendar synchronization or performance.
= Provide troubleshooting steps for users experiencing issues with email delivery, calendar notifications, or synchronization
with devices.
= Work closely with the IT department or external vendors to escalate and resolve more complex technical issues.

User Training and Documentation:
= Offer guidance and training to staff or clients on effective use of email and calendar tools.
= Create and update user manuals, knowledge base articles, and FAQs for common email and calendar-related issues.

General Administrative Support:
= Provide general administrative support as needed, including assisting with managing contacts, task lists, and reminders.
= Assist with scheduling and coordinating team meetings, conference calls, and virtual events.

Qualifications
Experience:
= Previous experience in a support or administrative role with a focus on email and calendar management.
= Familiarity with common email platforms (e.g., Microsoft Outlook, Gmail) and calendar management tools (e.g., Google
Calendar, Microsoft Outlook Calendar).
= Experience with troubleshooting software and providing user support is a plus.

Skills:
= Strong communication skills, both written and verbal.
= Excellent attention to detail and organizational skills.
= Ability to multitask and manage competing priorities.
= Strong problem-solving abilities and resourcefulness.
= Ability to work independently and as part of a team.
= Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail, Calendar, etc.).

Preferred Skills:
= Basic knowledge of email security best practices, including spam filtering and email encryption.
= Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams) for scheduling and coordination.
= Experience with ticketing systems for issue tracking (e.g., Zendesk, ServiceNow).
