JOB OVERVIEW

Job Description:
Discount Lots, LLC is seeking a meticulous and proactive Assistant Title Officer to support our title team with essential administrative and research tasks. The ideal candidate will be responsible for reviewing, updating, and maintaining accurate title records while ensuring compliance with county requirements. This role involves communication with various stakeholders such as counties, title companies, and homeowners' associations (HOAs). You will play a key part in managing the deed process, addressing rejections, and ensuring all documents are prepared and filed correctly.

The salary range for this position is between $5-$6 per hour, depending on experience and qualifications.

Key Responsibilities:

Deed Formatting and Review: Compare deeds with county records and the Carol deed for quality control, ensuring accuracy and compliance for recording.
Ownership Updates & Salesforce Audits: Regularly update ownership information and audit Salesforce (SF) records to maintain accuracy.
Deed Rejections: Contact counties regarding deed rejections, identify the cause (often legal description errors), and coordinate solutions to resolve issues.
Recording Requirements: Verify and confirm deed recording requirements by contacting counties when necessary.
Tax Auditing: Assist with tax audits by reviewing county records and contacting counties to clarify outstanding taxes.
HOA Dues: Help communicate with homeowners' associations to confirm outstanding dues for Discount Lots properties.
Title Companies & Closing Attorneys: Reach out to at least two title companies or closing attorneys per state to gather their contact information and pricing details (e.g., closing and settlement fees).
Problematic Parcels: Provide support to the team in researching and resolving issues related to specific parcels, including communication with stakeholders.
General Administrative Support: Assist with various administrative tasks as needed and assigned.

Qualifications:

Familiarity with U.S. real estate practices is required
Strong attention to detail and organizational skills
Excellent communication skills, both written and verbal
Prior experience in title processing or a related field is an advantage
Ability to work independently and manage multiple tasks efficiently
Familiarity with Salesforce is a plus but not required
