Vet Claim Solutions is dedicated to helping veterans navigate the VA claims process with ease and confidence. We are seeking a detail-oriented Administrative Support Specialist to join our growing team. This is an entry to junior level position in regards to work experience and who are looking to make a meaningful impact on US veterans’ lives.

Job Summary:
The Administrative Support Specialist provides direct clerical and administrative assistance to the Claims Coach in support of business operations. The specialist will handle a variety of tasks, including managing communication, organizing client documentation, and ensuring efficient workflow processes.

Key Responsibilities:

Email & Communication Management:
o Review, organize, and annotate the Claims Coach’s emails.
o Respond to low-level emails on behalf of the coach when necessary.

• Phone & Messaging Support:
o Review voicemail and text messages on the coach’s phone line.
o Respond when needed and relay important messages.

• Client Documentation & Organization:
o Organize client documents in the company’s data storage system.
o Ensure documents are properly labeled according to company naming conventions.
o Track submitted client documentation and follow up on missing items.

• File Management & Workflow Support:
o Create and maintain online folders in the company’s data storage system.
o Prepare documents for digital signatures using the company’s e-signature tool.

• Client Interaction & Support:
o Receive inbound client calls and perform outbound calls as required.
o Serve as a point of contact for clients assigned to the coach.
o Address client concerns promptly and escalate as needed.

• Operational Support:
o Utilize AI tools to develop documentation supporting business operations.
o Draft and send emails using company templates or customized responses.
o Identify and recommend improvements to company operations.

Qualifications:
• Strong customer service and/or sales experience.
• College graduate (any major considered).
• Ability to work remotely with minimal supervision.
• Strong problem-solving skills – ability to define problems, collect data, and draw valid conclusions.
• Ability to interpret and follow detailed instructions.
• Comfortable working under pressure in a fast-paced environment.
• Ability to multi-task, prioritize, and stay organized in a growing company.
• Strong attention to detail and a diligent work ethic.
• Excellent written and verbal communication skills.
• Ability to maintain confidentiality when handling sensitive client information.

Preferred Qualifications:
• Background in healthcare or medical fields.
• Experience in sales is a plus.
• Experience using CRM systems and Google Suite (Docs, Sheets, Drive, etc.).

Compensation and Benefits
• Starting Salary: $450 - $600 USD per month, commensurate with experience. NOTE the support specialist may also receive monthly payouts (coach bonus) from his/her assigned claims coaches. These monthly payouts when totaled can exceed the salary coming from the company.
• Bonuses: Eligible for monthly, quarterly, and annual bonuses based on personal and company performance. Will also be eligible for spot awards that can include monetary bonus, gift cards, extra time off, or non-monetary recognition.
• 13 Month Salary: prorated based off hiring date.
• Salary Increase: Opportunity for a salary increase after a 90-day probation period for exceptional performance and goal achievement.
• Work From Home: Opportunity to work from designated home office and given IT credit to help with setting up his/her workstation.
