Administrative Specialist for a US Law Firm

Work Hours: Mon-Fri, 20 hours per week. Shift may be required to start as early as 4AM PH Time

Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Virtual Administrative Specialist to join our team. The ideal candidate will play a crucial role in supporting our attorneys, caseworkers, and clients by performing administrative tasks, client communications, document preparation, research, calling vendors or suppliers, and other critical operations, all while ensuring seamless, efficient functioning of the firm’s daily processes.

Other Skills / Requirements:
• Bachelor of Science in Business Administration major in Management or any related course
• Minimum of two (2) years working experience as a Virtual Admin Specialist/Assistant
• Exceptional written and verbal communication skills
• Possess incredible accuracy
• Strong organizational and time-management abilities
• Ability to work independently and as part of the team
• Good practical experience in Microsoft Office tools, scheduling platforms and Project Management Tools
• Systematic knowledge and of databases and tracking systems
• Extensive knowledge in scheduling, email management and other admin roles

Duties:
• Maintain databases and Tracking System
• Provide administrative support to Lawyers and Case Workers
• Coordinate and ensure that case workers meet deadlines and prioritize tasks accordingly
• Track case progress, deadlines, and milestones in the firm’s case management system.
• Monitoring of payment posting from the clients through our system
• Enter data, maintaining records and creating reports if needed
• Assist in ordering supplies and contacting vendors for LA office when needed
• Assist in fee and bill management and other admin related tasks pertaining to our client’s cases
• Online Posting of Articles
• Sending of weekly news letter
• Client Correspondence
• Making reservations and scheduling meetings

Note: This is an independent contractor position.
