JOB OVERVIEW

???? Monday to Friday, 8:00 AM - 3.00 PM UK Time working flexibly for 5 hours per day (25 hours per week, with a 30-minute lunch break)
???? £4.50 per hour, paid weekly for hours worked.

About the Role:
We are looking for a highly organised and detail-oriented Administrative Assistant to support our specialist therapy team. You will work closely with the Service Manager and play a key role in ensuring smooth operations across the service. This is a fast-paced and demanding role that requires excellent time management, communication, and administrative skills.

Key Responsibilities:
? Email & Communication Management – Monitor and organise the Service Manager’s emails, responding to inquiries about therapy appointments and client allocation.
? Data Entry & Reporting – Maintain accurate client records, complete weekly and monthly reports, and provide key stakeholders with updates.
? Newsletter Creation – Design and distribute the fortnightly newsletter to clients and stakeholders.
? Data Analysis – Track client data, identify delays in service delivery, and report findings.
? Appointment Scheduling – Book and arrange therapy appointments, ensuring efficient scheduling.
? Call Distribution & Liaison – Direct calls to UK-based support staff and liaise with commissioners to facilitate smooth communication.
? Process Improvement – Assist in streamlining administrative processes to enhance efficiency for staff and clients.

What We’re Looking For:
???? Experience in administrative roles, preferably in a healthcare or therapy setting.
???? Proficiency in Microsoft Outlook, Word, and Excel (essential).
???? Experience with Salesforce (highly desirable).
???? Strong attention to detail and ability to multitask in a fast-paced environment.
???? Excellent written and verbal English communication skills.
???? Ability to work independently and proactively solve problems.
???? A keen understanding of service operations, ensuring therapy sessions run smoothly and without delays.
