JOB OVERVIEW

We are looking for an organized and motivated Administrative Assistant with HR support experience to join Allied Healthcare Physicians. This dual-role position combines administrative functions with human resources tasks, ensuring smooth office operations and supporting HR initiatives.

Location: Remote
Employment Type: Full-time (08:00-17:00 EST)
Reports To: Operations Manager

Key Responsibilities:
Administrative Duties:
• Perform general office duties such as answering phones, scheduling appointments, and managing correspondence.
• Maintain accurate patient and office records in compliance with HIPAA and other regulations.
• Assist in organizing meetings, preparing agendas, and recording minutes.
• Manage office supplies and assist with inventory tracking and ordering.
• Support billing and basic bookkeeping activities.
• Assist with recruitment efforts, including posting job ads, coordinating interviews, and managing applicant records.
• Help onboard new hires by preparing orientation materials and ensuring all required paperwork is completed.
• Maintain and update employee files, including tracking certifications, licenses, and training compliance.
• Support payroll preparation by gathering timekeeping data and ensuring accuracy.
• Provide administrative assistance for benefits enrollment and employee inquiries.
• Help maintain workplace policies and assist in promoting a positive work environment.

Qualifications:
• Education:
o High school diploma or equivalent (required).
o Associate's degree in Business Administration, Human Resources, or a related field (preferred).

• Experience:
o At least 1 year in an administrative or HR support role (required).
o Experience in a medical or healthcare setting (preferred).

• Skills: (A skill test will be conducted during the second interview)
o Strong organizational and time-management skills.
o Excellent written and verbal communication skills.
o Proficiency in office software (e.g., Google Suite) and familiarity with HR software or tools.
o Basic understanding of HR processes and healthcare compliance regulations.
