JOB OVERVIEW

Job Summary:
We are looking for an organised and detail-oriented Administrative Assistant to support our Operations Manager in maintaining smooth internal operations. This role will focus on organising and coordinating files, streamlining processes, and providing first-line support to internal teams, particularly the marketing department. The ideal candidate will be adept at managing administrative tasks, ensuring everything runs efficiently, and serving as a key point of contact for operational inquiries within the company.

Key Responsibilities:


• Assist the Operations Manager in organising and structuring internal processes to improve team efficiency.

• Coordinate and manage the filing of documents and information, ensuring they are accessible and well-organised.

• Serve as the first point of contact for the marketing team on operational queries, helping to resolve basic questions and escalate more complex issues as needed.

• Maintain and update internal documentation, process guides, and templates to ensure consistency and easy access for the team.

• Support project coordination by tracking progress, deadlines, and deliverables in collaboration with the Operations Manager.

• Organise internal meetings, manage agendas, and follow up on action items to ensure accountability.

• Help ensure smooth communication between the operations and marketing teams by sharing updates and ensuring alignment on key operational procedures.

• Perform general administrative duties such as managing internal calendars, organising digital workspaces, and assisting in internal communications.

Key Qualifications:


• Proven experience in an administrative support role, with a focus on operations or internal coordination.

• Strong organisational skills with the ability to structure workflows and manage multiple tasks effectively.

• Excellent written and verbal communication skills, comfortable handling internal queries and coordinating across teams.

• High level of attention to detail, ensuring consistency and accuracy in all work.

• Proficiency in Microsoft Office, Basecamp and other digital tools for document management and team coordination.

• Ability to work independently in a remote environment, with a proactive approach to supporting internal teams.
